Grant Accounting Associate

Classification Summary:

The position within the Business Office of Jefferson College is responsible for preparing and analyzing financial reports and data associated with the ABA2 Grant for consortium partners. Responsibilities include identifying, researching, and resolving account discrepancies; preparing and analyzing standard and ad-hoc reports; and ensuring compliance with policies, procedures, and/or grant requirements.

This position is grant-funded through 2028. This grant aims to lead the implementation of vital apprenticeship programs that strengthen the local workforce and provide students with hands-on experience in high-demand fields. As the grant lead, Jefferson College will coordinate efforts among a consortium of five Missouri colleges to deliver comprehensive training and real-world experience to students, preparing them for successful careers while addressing the workforce needs in the region. Jefferson College, with its consortium partners, is committed to enhancing its students' educational and career prospects while contributing to the region's economic vitality through these innovative apprenticeship programs.

Minimum Education and/or Training and Experience:

An associate's degree in accounting, finance, or a related field is required, as well as a minimum of 3-5 years of related experience.

OR Bachelor's degree in accounting, finance, or a related field and 1-year related experience

Consideration will be given to applicants with an equivalent combination of education and experience.

Preferred Education and/or Training and Experience:

Grant experience preferred.

Licensing Requirements:

Classification Duties:

Act as the primary point of contact for all grant-related financial activity, including reporting, reimbursement requests, and coordination with consortium members. Collaborate with consortium members, funding agencies, and other stakeholders to address financial concerns and ensure transparency.

Monitor, review, and track financial transactions, including expense and reimbursement requests from consortium members. Prepare and enter basic journal entries and other financial data as instructed. Ensure initial compliance with basic grant requirements and financial policies.

Auditing consortium member documentation for grant compliance.

Compile, organize, and prepare detailed financial reports, analytical data reports, and other related documentation for senior management, grant leads, and consortium partners. Ensure that reports follow standard formats and guidelines.

Under supervision, prepare monthly and year-end journal entries and enter them into the appropriate general ledger system. Assist in the preparation of reclassification journal entries as needed.

With the guidance of senior business office staff, interpret grant documents to determine allowable grant-funded expenditures. Prepare and submit straightforward reimbursement requests to external agencies by specific deadlines.

Manage sub-awards and subcontracts within the consortium.

Perform other related duties of a comparable level/type as assigned.

Experience with financial reporting.

Familiarity with accounting reconciliations.
