Primary Purpose
Working under limited supervision, performs high level administrative/clerical functions including: word processing or typing letters, memoranda and forms, orders supplies, maintains files, answers telephones, schedules appointments/ conferences, makes travel arrangements, receives visitors, and sorts mail. Responsible for a higher level of administrative support on various clerical responsibilities. As a senior administrative coordinator, participates in a variety of department efforts by providing a wide range of senior level administrative support requiring advanced skills. This position must be willing to work outside or normal business hours upon occasion to assist with business and site functions.
Duties and Responsibilities Utilizes various business applications software and peripheral equipment to effectively support department efforts and goals (e.g., complex databases, create/edit presentations, detailed spreadsheets using original formulas, operates fax machines, copy machines, etc.). Schedules meetings, All-Hands Quarterly meetings, lunches, internal/external events or other requests which may include ordering catering. Works collaboratively with admins/executive assistant to plan executive visits to site/meetings. Develops correspondence and reports on behalf of leaders and ensures approval from all applicable stakeholders. Independently researches, abstracts and compiles information for data analyses for a variety of departmental efforts. Ensures accuracy of written material; reviews calculations for accuracy and provides recommendations based on review. Reconciles report data; maintains complex accounting ledgers, petty cash funds, inventory, etc. and other financial details within scope. Participates in a variety of department efforts by providing a wide range of senior level administrative support to leaders within department. May provide recommendation and perspective on a variety of projects impacting department. Supports the processing of time sheets, payroll, cashiering, budget, expense accounts and other financial records, etc. Independently responsible for planning and scheduling individual work and assignments. May provide work direction for clerical group; may review work of others; may train others. Performs other duties as assigned (no more than 5% of duties).
Education H.S. Diploma/GED required. College courses/vocational training preferred.
Experience 6 years of related experience required.
Knowledge, Skills and Abilities Bilingual in English/Spanish is highly preferred. Proficiency in computer software applications. Ability to create/edit presentations. Ability to handle multiple activities/projects and their deadlines. Demonstrated knowledge of business application software including spreadsheets, databases and word processing. Must be able to operate a computer and peripheral equipment for word processing. Must possess intermediate math skills and be able to operate a calculator. Excellent oral and written communications skills required.
HYBRID: Work a combination of onsite and remote days each week, typically 3 days per week onsite. Administrative Services Full-time $62,900.00 $78,650.00 $94,400.00 Note: The Company strives to ensure that employees are paid equitably and competitively.
