The Executive Administrator provides high-level administrative support directly related to the management and general operations of Akima's Emerging Markets Group (EMG). This role demands a strategic approach to executive-level support, where discretion and independent judgment are essential. The position involves complex, non-manual tasks that contribute directly to business operations and require stakeholder communication and providing approvals on behalf of the Senior Vice President in specific capacities.Reporting to the Group President, this role is responsible for handling complex business situations that require careful analysis, strategic thinking, and independent decision-making. Responsibilities
Handle a broad range of complex administrative matters of a highly sensitive and confidential nature, requiring an in-depth understanding of organizational policies, procedures, and objectives.
Draft and manage executive communications, often on behalf of the Senior Vice President, with the authority to sign documents and make decisions within defined guidelines to maintain workflow and address operational needs.
Exercise discretion and judgment on matters requiring a balance of organizational objectives, priorities, and internal policy. Evaluate multiple factors in determining courses of action, particularly when coordinating across departments and with external partners.
Independently gather, analyze, and synthesize information on administrative and policy issues, using insights to support strategic decision-making and executive initiatives.
Oversee small to mid-sized projects that support executive initiatives, from conception through completion, autonomously managing timelines, resources, and outcomes.
Optimize and manage the Senior Vice President's schedule with minimal supervision, including strategic prioritization of meetings, deadlines, and external commitments.
Coordinate comprehensive business travel arrangements, expense tracking, and budget adherence for the Senior Vice President, ensuring alignment with organizational policies and cost-effectiveness.
Plan and coordinate executive meetings and events, planning and executing comprehensive plans & logistics in alignment with company policies for cost-effectiveness. This includes creating budget, researching and coordinating with external vendors and internal stakeholders, drafting and communicating agendas, managing attendee lists, and ensuring follow-up on action items without direct oversight.
Establish, manage, and maintain electronic and physical files, records, and documentation systems with high confidentiality and organizational compliance.
Utilize advanced expertise with administrative and operational systems to streamline processes, improve efficiency, and support the EMG's strategic goals.
Qualifications
Experience
: Minimum of 6 years in an executive support role with progressively responsible tasks, ideally within a large corporation (>$500M annual revenue and multiple business units), demonstrating independent judgment in support of executive leadership. Education
: Bachelor's degree in business administration or a related field preferred. A combination of training and experience may be considered in place of a degree. Skills
