Parker Tide is a veteran-owned, small business in DC. We serve as a value-added partner to the government. We are seeking an Administrative Assistant to work with one of our clients.

Bethesda, MD (8:00 AM - 4:30 PM). Period of Performance:
on-going. Years of Experience:
5 years of experience (NIH experience preferred).
Tasks Assist the AO with practical and technical aspects of office administration to include budget, procurement, HR, office automation, training, timekeeping, travel, and perform staff support work in each of these areas. Act as primary assistant to the Administrative Officer in coordinating issues related to the staff, facilities, and resources of each laboratory supported. Respond to requests from senior staff and PIs for information from multiple sources. Coordinate and assemble data to respond to inquiries from senior management. Track all staff, supply, training, and other administrative transactions as the documentation flows through the office in both electronic form and hard copy Receive and direct visitors, notify appropriate personnel of visitors' presence and nature of business. Assesses need of escort and plan for those needs as necessary. Also, determine the level of importance and priority of visitors' business Attends program and project meetings. Coordinate the logistics of meetings for senior staff, such as scheduling a conference room, ensuring audiovisual support, copies are made, read-ahead packets sent out, etc. Provide general information to the public on the organization's programs either in response to telephone inquiries or to incoming correspondence. Follow up as appropriate. Provide support in the areas of space, facilities and parking. Inform staff of changes related to these areas in a timely manner. Responsible for logs and reports as needed to monitor and track projects within the office and items needing follow-up. Maintain an electronic tickler system to ensure deadlines are met on time and send reminders to staff as deadlines approach. Develop and maintain filing systems. Retain and dispose files, charts, and information in accordance with policy and regulations. Provide guidance to staff on office and administrative procedures. Provide technical assistance to the AOs in the formulation and development of budget estimates. Identify, compile, verify, and organize a wide variety of detailed budgetary data related to different accounts, object codes, and line items in support of human resources, procurement, travel, etc. Perform a variety of human resources related duties to include preparation of personnel packages and updates, assistance with the recruitment process, assistance with in-and-out processing of staff, and maintenance of updated reports on personnel actions in progress, and projected. Prepares personnel actions for performance increases, awards, and other actions. Track FTE and non-FTE appointments, conversions, and reassignments. Use software applications such as Word, Excel, and PowerPoint to create documents for staff.
