Position Title: Hollywood Semester Program Coordinator

Department: Slane College of Communication and Fine Arts

Reports to: Executive Director of the Hollywood Semester

Appointment: Full-Time; 12 months

Status: Exempt

Location:Burbank, CA

Position Overview: The Program Coordinator is responsible for managing the logistics and providing support for the Bradley University Hollywood Semester. This program offers Bradley University upper-level students an immersive L.A. experience, including classes, housing, internships, and activities. The Coordinator's primary role is to handle program logistics, while also serving as a resource for student questions and contributing to a welcoming community environment. Key responsibilities include program coordination, administrative support, budget assistance, and basic marketing activities. The Program Operations Coordinator works closely with the Executive Director of the Hollywood Semester and faculty to ensure smooth operations and a positive experience for all participants.

Program Coordination:

Coordinate with the Executive Director and faculty to plan and schedule move-in days (twice yearly), occasional class activities, and field trips. Oversee field trip logistics, including vendor coordination and transportation arrangements. Maintain accurate administrative records related to student activities and internship placements. Support logistical aspects of cohort engagement activities as directed by the Executive Director to foster a positive student experience. Serve as a point of contact for student logistical inquiries Administrative and Technical Support:

Provide logistical support for events, which may occasionally require evening or weekend hours. Assist faculty with basic technology setup and troubleshooting for commonly used devices. Coordinate with vendors to oversee facility-related services as needed. Budget Management:

Maintain accurate financial records and prepare straightforward monthly budget updates for the Executive Director. Track routine expenses and assist in generating basic financial summaries, without direct budget oversight responsibility. Secondary Responsibilities (As Needed):

Marketing and Outreach Support:

Update the program website and create weekly social media updates. Support the development of promotional materials for student recruitment as directed by the Executive Director. Qualifications:

Required:

High School Diploma and a minimum of two years of relevant professional experience. Proficiency in MS Office and Google Suite., and Adobe Suite Experience with basic budget tracking or financial record management. Strong written and interpersonal communication skills. Excellent organizational and multitasking abilities. High attention to detail and analytical skills. Compassionate, student-centered approach to program coordination.

Preferred:

Experience in educational program coordination or project management. Familiarity with basic troubleshooting for digital platforms.

Working Conditions:

Primarily office-based, with occasional supervision of field trips or events outside regular office hours. Occasional lifting and movement of office supplies (up to 25 lbs.) may be required.

Students earn a full semester of upper-level credit through the Bradley University Hollywood program.
