PROJECT COORDINATOR / ASSISTANT PROJECT MANAGER LOCATION: Austin, Texas TYPE: Full-time WORK SETTING: Onsite INDUSTRY: Construction / Airport AREA OF SPECIALTY: Construction / Project Coordination and Engineering / Airport Terminal Projects ASLPM is seeking an organized and proactive Project Coordinator / Assistant Project Manager to support various airport-related construction, infrastructure, and development projects, in the TX region. The successful candidate will work closely with project managers, contractors, airport operations teams, and other stakeholders to ensure the seamless execution of aviation projects. The Project Coordinator / Assistant Project Manager will assist in coordinating project activities, tracking progress, ensuring compliance with airport regulations, and managing project documentation. The ideal candidate will possess a strong attention to detail, excellent communication skills, and a commitment to delivering projects efficiently and on schedule. WHAT YOU’LL DO Project Support & Coordination: Assist in coordinating day-to-day activities of aviation-related projects, including construction, terminal upgrades, airfield improvements, and infrastructure development. Act as a liaison between project managers, contractors, vendors, and internal teams to ensure smooth project execution. Assist in scheduling meetings, site visits, and progress reviews to track project status and resolve issues. Documentation & Reporting: Maintain comprehensive project records, including contracts, change orders, meeting minutes, progress reports, and daily logs. Prepare and update project reports for internal stakeholders, including project updates, milestones, timelines, and potential risks. Assist in tracking project budgets, expenditures, and resource allocation, ensuring financial control and adherence to project budgets. Project Scheduling: Support the development and management of project schedules, ensuring all tasks are completed on time. Assist with resource allocation, tracking subcontractor schedules, and ensuring that key milestones are met. Monitor the project timeline and provide updates to the project manager regarding any delays or changes to the schedule. Compliance & Regulatory Support: Ensure all projects comply with airport regulations, FAA guidelines, TSA requirements, and safety standards. Assist in coordinating necessary permits, inspections, and approvals from relevant regulatory bodies. Support safety inspections, audits, and site reviews to ensure all activities adhere to the required safety standards. Communication & Stakeholder Management: Support communication efforts between the project team, contractors, and airport stakeholders to keep everyone informed of project updates and any changes. Facilitate meetings, both on-site and virtual, and ensure that stakeholders are aligned on project status, timelines, and next steps. Assist in addressing and resolving any project-related issues or conflicts in collaboration with the project team and stakeholders. Procurement & Vendor Support: Assist in overseeing the procurement process, including sourcing and coordinating vendors, suppliers, and subcontractors. Track and manage the ordering of materials and supplies required for the project. Ensure that all vendors and contractors comply with airport-specific rules and regulations. Risk & Issue Management: Assist in identifying potential project risks, including delays, safety issues, or cost overruns. Work with the project manager to develop strategies for risk mitigation and resolution. Help monitor and address any issues that may impact the project's progress or success. WHAT YOU’LL BRING Bachelor’s degree in Construction Management, Engineering, Aviation Management, or a related field (or equivalent work experience). 2-4 years of experience in project coordination, construction management, or a related field. Experience in aviation or airport projects is highly preferred. Familiarity with project management software (e.g., MS Project, Procore, or similar) is an asset. Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities effectively. Excellent communication skills, both written and verbal, with the ability to interact with a variety of stakeholders. Understanding of construction and project management processes, including documentation, scheduling, and budgeting. Basic knowledge of airport operations, aviation regulations (FAA, TSA), and safety standards is a plus. Strong problem-solving abilities and the ability to adapt to changing project requirements. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with airport construction projects or aviation-related infrastructure projects. Knowledge of project management best practices, including experience with construction contracts and change orders. Certification or training in project management (e.g., PMP, CAPM) or safety management (e.g., OSHA).
