We have 4 locations across Texas: Houston, The Woodlands, Austin and San Antonio. Responsibilities We are seeking a meticulous and experienced Payroll Specialist to manage all aspects of payroll processing for our employees. The Payroll Specialist will be responsible for ensuring accurate and timely payroll, handling payroll-related inquiries, and ensuring compliance with all relevant laws and regulations. This role is critical to maintaining employee satisfaction and operational efficiency within our growing civil engineering firm. Payroll Processing: Manage end-to-end payroll processing for all employees, including data entry, validation, and reconciliation. Calculate wages, overtime, deductions, bonuses, and other forms of compensation. Ensure payroll is processed accurately and on time in accordance with company policies and legal requirements. Payroll Compliance: Stay updated on changes in payroll laws and regulations, ensuring compliance with federal, state, and local requirements. Prepare and submit payroll tax filings, including quarterly and annual reports. Handle garnishments, tax levies, and other payroll deductions as required by law. Employee Records Management: Maintain accurate payroll records, including employee timekeeping, wage adjustments, and benefits deductions. Ensure confidentiality and security of payroll data. Benefits & Deductions Administration: Coordinate payroll-related aspects of employee benefits, including health insurance, retirement plans, and other voluntary deductions. Process benefit changes, enrollments, and terminations in the payroll system. Payroll Reporting: Generate and distribute payroll reports, including earnings statements, payroll summaries, and labor cost analyses. Provide payroll data and analysis to finance and HR teams as needed. Employee Support: Respond to employee inquiries regarding payroll, timekeeping, and deductions in a timely and professional manner. Resolve payroll discrepancies by collecting and analyzing information. System Management: Maintain and update payroll systems and software, ensuring accurate data management and integration with other HR systems. Work with IT and HR teams to troubleshoot and improve payroll system functionality. Auditing & Reconciliation: Perform regular audits of payroll data to ensure accuracy and compliance. Reconcile payroll-related accounts, including expense reports, benefits, taxes, and other deductions. Qualifications Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience). 3 years of experience in payroll processing, preferably within the civil engineering, construction, or related industry. Strong knowledge of payroll practices, tax regulations, and labor laws. Proficiency in payroll software (Paycom, Ajera) and Microsoft Office Suite, especially Excel. Excellent attention to detail and accuracy in data entry and reporting. Strong analytical and problem-solving skills. Ability to handle sensitive information with confidentiality and professionalism.
