Newport News, Virginia Overview Works under the supervision of the Director of Marketing and provides wide range of general receptionist, clerical and administrative duties for the marketing department as well as community outreach and event planning and coordination. This individual is responsible for engaging prospects at networking events and encouraging them to meet with a sales advisor. Responsibilities include but are not limited to answering phones and providing general customer service, scheduling customer appointments with sales advisor, scheduling meetings, and planning and orchestrating marketing events with fellow team members. This individual may do some occasional public speaking and have the ability to think on their feet and problem solve. The ideal candidate will be poised and polished and be able to communicate effectively with people from various backgrounds and experiences. They will be highly organized and self-motivated. Hard skills should include: proficient with Microsoft office suite and other office and presentation software. Ability to learn new platforms quickly and become the expert on customer relationship management (CRM) software to improve utilization and reporting, Work with the marketing team to spearhead initiatives for process improvement to meet occupancy goals. What you will do Responsible for the customer as the first point of contact of the facility or department. Responds timely to incoming calls and answers questions routing to team members as necessary. Provides guidance as reserved clients navigate the moving process and completes paperwork with clients as needed. Maintains all files for the department. All new leads entered into CRM software. Waitlist and Reservation hard files maintained. Phone calls, appointments, email and mail correspondence with customers documented in CRM.) Works with marketing team to plan prospecting events. Implements plan through coordination of services. Works with stakeholders to coordinate group meetings. Communicates events and meetings with other departments appropriately. Completes required marketing reports to include daily resident report, board reports, maintenance renovation report, competitive market analysis reports, etc. Generates letters and mailings for prospects and Advantage Club members. Updates social media platforms with lifestyle bites from Warwick Forest to generate leads and encourage engagement. Maintains marketing supply inventory by checking stock to determine inventory level, anticipating needed supplies; evaluating new products, placing and expediting orders for supplies, verifying receipt of supplies. Attends external marketing events and trade shows and other venues to educate the public about Warwick Forest. Motivates prospects to visit Warwick Forest to meet with an advisor and learn more about lifestyle and options. Manages appointments and meetings for the marketing team.
