Job Description
We invite you to be part of the dynamic Executive team as an Executive Administrative Assistant. Empass Healthcare is seeking a highly organized and detailed Executive Administrative Assistant, who will be a key figure in providing support and structure to the CEO. This is an opportunity to join a fast-paced and engaging team to assist with diverse projects as we build our footprint in the medical space.
Please Note- Applicants should be located in NYC- Tri-State area.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support to the CEO with the highest level of integrity and professionalism
- Maintain and update multiple calendars, prioritize time sensitive and urgent meetings
- Perform travel arrangements and reservation as needed
- Exercise independent judgment in the resolution of administrative problems
- Prioritize and manage multiple projects simultaneously with lots of ambiguity and little to no supervision, while quality is not sacrificed
- Facilitate and foster relationships among C-Suite employees, Directors, and outside constituents
- Coordinate department meetings: compose agendas, memos, take meeting minutes, and transcribe notes
- Manage and handle confidential information in a timely fashion while maintaining discretion
- Establish and maintain relationships with outside entities and vendors such as Insurance providers
- Develop relationships with various departments in coordination of special events, programs, and administrative procedure
- Receive and track relevant paperwork and electronic documents, including new agreements
- Review and prioritize response to calls and emails, when appropriate
- Other duties may be assigned as needed
- Candidate will assist the CEO managing all professional and personal contacts and activities.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent verbal and written communication skills, including ability to effectively communicate with internal staff and external clients
- Proficient in Microsoft Office Programs (MS Office – Word, Excel, and Outlook)
- Must be comfortable with technology
- Must be able to:
- Work under pressure and meet multiple deadlines, while maintaining a professional demeanor
- Work independently and to conduct assignments to completion within parameters of instructions
- Understand and follow organizational and departmental policies and procedures

- Travel 70/30 when requested
REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS:
- Associates degree with 5-8 years of related experience, or bachelor’s degree with 5 years of related experience working with C-level executives
- Project Management experience, 3-5 years preferred
- Experience with scheduling tools including artificial intelligence (A.I.) systems.
- Experience with Social Media (Twitter (X), Instagram, Facebook, LinkedIN)
- Experience with employer systems, similar to Paylocity, ADP, Sage
- The ideal candidate must have experience, superb organizational skills, thrive in a collaborative environment and multi-task
