Position Summary:
ChildSavers is seeking a strategic and results-driven Chief Administrative Officer (CAO) to join our leadership team. This position is responsible for enhancing the operational efficiency of the organization and ensuring that organizational processes run smoothly. The CAO will work closely with the CEO to provide executive-level support, drive key initiatives, and ensure effective coordination across departments. This is a critical role that will help shape the future direction of ChildSavers by managing day-to-day operations, facilitating strategic planning, and acting as a key liaison with both internal teams and external partners.
Key Responsibilities:
Strategic Leadership and Executive Support:
Partner with the CEO to drive organizational strategy and provide high-level executive support. This includes managing the CEO’s calendar, prioritizing tasks, and preparing documents to aid in decision-making. The CAO will also serve as a trusted advisor on organizational matters, helping to shape the vision and strategic goals.
Operational Excellence:
Oversee the daily operations of the organization, ensuring that all functions align with ChildSavers' mission and objectives. The CAO will be responsible for optimizing internal processes and implementing best practices to enhance overall operational effectiveness and efficiency.
Cross-Departmental Collaboration:
Act as a liaison between the CEO, senior leadership, and departmental teams. Foster a collaborative work environment that supports effective communication, teamwork, and alignment on strategic initiatives across the organization.
Project Management and Execution:
Lead and manage high-priority organizational projects from initiation to completion. This includes working with department heads to ensure projects meet established deadlines, stay within budget, and deliver the desired outcomes.
Board and Stakeholder Relations:
Coordinate with the CEO and senior leadership to prepare for board meetings and maintain clear communication with key stakeholders. This includes managing the preparation of materials, logistics, and follow-up on action items to ensure alignment with strategic goals.
Policy Development and Compliance Oversight:
Ensure the organization adheres to its policies and regulatory standards. The CAO will play a critical role in developing and refining policies to support ChildSavers’ operations and ensuring compliance with applicable laws and regulations.
Resource and Facility Management:
Oversee the efficient use of organizational resources, including facilities and technology, ensuring that the infrastructure supports the organization’s growth and operational needs.
Team Development and Performance Management:
Support the development of team members through mentorship, leadership, and the promotion of a high-performance culture. The CAO will help guide and inspire the leadership team to achieve both short-term and long-term goals.
Minimum Qualifications:
Education:
Bachelor’s degree in Business Administration, Nonprofit Management, or related field required; Master’s degree preferred.
Experience:
A minimum of 5 years in senior-level administrative or management roles, preferably in the nonprofit sector.
Knowledge:
In-depth knowledge of nonprofit management practices, organizational development, and strategic planning.
Knowledge of regulatory compliance, financial management, and policy development in nonprofit organizations.
Familiarity with best practices in operational efficiency and resource management.
Skills:
Exceptional project management skills with the ability to prioritize and oversee multiple complex initiatives.
Strong leadership and interpersonal skills to effectively collaborate with the CEO, senior leadership, department heads, and external stakeholders.
Proficiency in office software, project management tools, and data analysis to support decision-making.
Abilities:
Ability to lead teams, mentor staff, and foster a culture of collaboration and high performance.
Strong decision-making and problem-solving abilities with the capacity to handle sensitive issues with discretion.
Ability to manage diverse tasks simultaneously, work independently, and maintain confidentiality when handling sensitive information.
Physical Demands and Work Environment:
Physical Requirements:
Primarily office-based with occasional travel for meetings, events, or site visits.
Work Environment:
Office environment with moderate noise levels; occasional inspections of facilities may be required.
