We are looking for an Executive Assistant to provide administrative and organizational support to our company’s President in Dallas, TX. In this position, you will be providing critical day-to-day support, manage schedules, coordinate meetings, handle communications, and perform various duties such as program management, travel arrangements, etc. The ideal candidate is detail-oriented, highly organized, and must be able to work independently in a fast-paced environment.
Duties and Responsibilities:
- Provide administrative support to the President and keep them informed of upcoming commitments and responsibilities
- Draft, review and send communications on behalf of company executive
- Organize meetings including scheduling onsite and virtual meetings via MS Teams and Zoom.
- Follow up on action items from meetings and track progress to ensure deadlines are met.
- Manage the executive’s calendar, including making appointments and prioritizing sensitive matters
- Answer and respond to phone calls, communicate messages and information to the executive
- Maintain effective systems and processes for simplified document management
- Utilize project management systems to ensure timely completion of assignments and projects
- Monitor and provide regular updates project statuses and potential bottlenecks
- Collaborate with cross-functional teams to facilitate effective communication
- Manage all confidential matters with discretion and professionalism
- Coordinate travel arrangements
- Other duties as assigned.
Qualifications and Experience:
- Bachelor’s degree in Business Administration or related field
- At least 5 years of experience supporting senior leadership or stakeholders as an Executive Assistant
- Familiarity with task management systems to facilitate efficient follow-up on assignments
- Excellent written and verbal communication skills
- Time-management skills
- Ability to pay attention to detail
- Ability to manage multiple priorities with professionalism and confidentiality
- Proficient in using Microsoft Office, MS Teams, Zoom and project management tools.
