Job Description:

Our client, a prestigious AM LAW 100 firm located in Los Angeles, is seeking an experienced and highly organized Legal Executive Assistant to join their dynamic team. This is an exciting opportunity for a motivated individual with 5+ years of legal assistant experience at a mid- to large-sized law firm to work alongside senior attorneys in a fast-paced and collaborative environment.

Key Responsibilities:

  • Provide comprehensive administrative support to attorneys and legal teams, managing complex calendars, scheduling meetings, and coordinating travel arrangements.
  • Draft, proofread, and revise legal documents, correspondence, and reports with accuracy and attention to detail.
  • Organize and maintain files, both electronic and paper, ensuring that all materials are easily accessible and in compliance with firm policies.
  • Handle client communications, responding to inquiries and ensuring that client needs are met in a timely and professional manner.
  • Prepare and manage billing and time entry processes for assigned attorneys, ensuring accuracy and timely submission.
  • Coordinate and assist with legal research, document preparation, and case management for litigation and transactional matters.
  • Assist in the preparation of trial materials, including exhibits, discovery documents, and filings.
  • Support team members and contribute to the efficient functioning of the practice group by managing tasks proactively and independently.
  • Maintain a high level of confidentiality and professionalism in all dealings with clients, colleagues, and external contacts.

Qualifications:

  • Minimum of 5 years of legal assistant experience, ideally in a mid- to large-sized law firm environment.
  • Strong understanding of legal terminology, legal procedures, and court rules.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software (iManage, Relativity, etc.).
  • Excellent written and verbal communication skills with the ability to interact professionally with clients, attorneys, and staff.
  • Highly organized with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong attention to detail, problem-solving skills, and ability to work independently with minimal supervision.
  • Ability to handle sensitive information with discretion and maintain a high level of confidentiality.
  • A proactive, positive attitude with a strong work ethic and the ability to be a team player.

Preferred Qualifications:

  • Experience supporting senior partners and executives at a top-tier law firm.
  • Familiarity with billing systems and legal project management tools.
  • Knowledge of e-filing systems and court procedures.
