Provide administrative support to the HCV program operations department. Assist staff with customer service, document management including scanning, monitoring and responding to email and telephone inquiries. Manage incoming and outgoing correspondence.
Essential duties include (but are not limited to):
- Support overall Housing Choice Voucher Program Operations Team.
- Respond or assign all customer service inquiries/tickets to appropriate staff.
- Sort scanned mail and upload to the appropriate CVR Tracker log entry and update status accordingly.
- Manage incoming and outgoing mail, including scanning to the appropriate system of record
- Perform quality control on documents scanned and report as required.
- Filing as defined by Program Supervisor
- Provide coverage to front desk receptionists.
- Act as a liaison as it relates to scheduled/missed appointments (recertifications/ intake/moves/interims).
- Provide general program information to the public and respond to applicants through phone, email and help desk.
- Develop and implement the process for file management including shredding documents according to the applicable retention requirements
- Responsible for all of the day-forward scanning shredding.
- Monitor and record keeping on all off-site file storage system.
- Send status update letters to applicants on the waiting list.
- Process all new waitlist applications and updates.
- Prepare reports and logs reflecting appointments scheduled and other customer service activity.
- Monitor recertification/intake scheduling procedure.
- Maintain all required records and prepare all required reports utilizing/ accessing same records.
- All additional duties as assigned by supervisor.
Knowledge, Skills, & Abilities:
- Knowledge of the Housing Choice Voucher requirements, policies and procedures
- Possess strong customer service skills.
- Interpret, apply, and enforce the laws and regulations pertaining to housing programs
- Ability to interact with HCV clients effectively.
- Must maintain effective working relationships with staff, program participants, landlords and other program constituents
- Be able to work independently with minimal supervision.
- Ability to effectively complete reports, maintain documentation and accurately complete required forms.
- Ability to operate necessary office equipment, computers and peripherals.
- Ability to perform basic arithmetic calculations.
- Proficient in all areas of Microsoft (Word, Excel, Outlook, etc.) and be able to create and manipulate such documents.
- Must have ability to safeguard confidential and sensitive information.
- Ability to determine a solution and what method to follow based upon the transaction that needs to be completed.
- Exercise sound and ethical judgement when acting on half of the organization.
Qualifications/Experience:
- Experience must include direct contact with the public.
- Experience working with diverse clientele.
- One (1) year of experience working with the public in a Housing Choice Voucher Program, low- income housing or similar field.
- Bachelor’s degree or additional three (3) years of relevant experience.
