Temporary Pre-Award Specialist - Office of Sponsored Programs

Pre-Award Specialist Temporary Position
The Pre-Award Specialist will support the pre-award unit of the Office of Sponsored Programs
(OSP). This position is expected to contribute to the team effort by assisting colleagues to ensure timely service is provided to departments and sponsors. The Pre-Award Specialist must perform timely, high-quality and coordinated research administrative services for an array of internal customers and external sponsors. The functions of this position include, but are not limited to conducting Pre-Award proposal triage, reviewing submission requests such as just-in-time, post-submission material, annual, interim, and final Research Performance Progress Report (RPPR), reviewing internal requests for sponsor ID accounts, and monitoring the Pre-Award shared email account.
The Pre-Award Specialist is available as needed to perform back-up duties during staff vacation or sick leave. This position requires direct contact with internal faculty and administrative staff as well as federal sponsor agency's staff, non-federal sponsor's staff, corporate sponsors, other UT System campuses, and other external institutions. Customer service is a high priority, and professionalism is always required.
As a member of an active, customer-service-oriented pre-award team, the Pre-Award Specialist's functions are:
• Proactively preparing for multiple concurrent proposal submission deadlines to ensure the on-time processing of high-quality, responsive and compliant proposal applications.
• Conducting proposal triage and resolving issues in a timely manner to ensure project personnel have completed their required COI/OID documentation.
• Ensuring proposals are complete and ready for Pre-Award review in a timely manner.
• Liaison between the faculty, Department Administrators, and OSP staff.
• Staying current on federal and university policies regarding research administration and regulatory support.
• Maintains standards for organizing and updating OSP's shared electronic files.
Qualifications:
The successful candidate must have a High School Diploma or equivalent with a minimum of two years work experience in an administrative support role. Experience working in higher education preferred.
Computer proficiency in various software applications to include Microsoft Office Suite and Outlook. Ability to use SAP a plus. Must have excellent phone etiquette, verbal communication skills and have the ability to multitask. Must be able to work with minimum supervision and be customer service driven.
