Job Summary: The Director of Operations is responsible for overseeing the daily operations, efficiency, and strategic direction of the clinic's specialized medical services. This role ensures that all administrative functions run smoothly, while maintaining a focus on patient care, regulatory compliance, financial performance, and continuous improvement. The Director works closely with medical staff, leadership teams, and external stakeholders to enhance the clinic's operational capacity, patient satisfaction, and overall performance.
Duties/ Responsibilities:
Develop and implement policies and procedures to streamline clinic operations and ensure alignment with industry best practices. Monitor and improve operational workflows, from patient intake to discharge, to enhance patient experience and clinic efficiency. Foster a positive, collaborative work environment that promotes professional development and high standards of care. Develop and manage clinic budgets, including monitoring expenditures, revenue, and cost containment strategies. Ensure the clinic operates within financial targets while maintaining high standards of service delivery. Work with billing and coding teams to ensure proper billing procedures and compliance with insurance and reimbursement policies. Track and report on financial performance, identifying opportunities for cost savings and increased revenue. Ensure clinic operations comply with all federal, state, and local regulations, as well as accreditation standards (e.g., Joint Commission, HIPAA, OSHA). Coordinate regular audits and inspections to maintain compliance with healthcare standards and identify areas for improvement. Develop and implement patient satisfaction initiatives to improve overall care delivery. Monitor patient feedback and resolve any concerns or complaints in a timely and professional manner. Ensure the clinic maintains high levels of patient retention and satisfaction. Collaborate with clinic leadership to define long-term goals, growth strategies, and service expansion. Analyze market trends, identify new service opportunities, and implement strategies to expand the clinic's specialty services. Lead efforts in optimizing the use of technology and innovations to improve operational efficiency and enhance patient care. Lead continuous improvement initiatives to optimize clinical outcomes, operational efficiency, and patient care quality. Utilize data and analytics to monitor key performance indicators (KPIs) such as patient volume, wait times, and clinical outcomes. Establish and maintain relationships with external vendors, suppliers, and partners to support the clinic's operations. Negotiate contracts and manage relationships with insurance providers, laboratories, and other third-party service providers. Supervises the implementation of strategic initiatives to expand clinic services, improve patient care offerings, and grow the clinic's patient base. This might include overseeing the opening of new locations, increasing service offerings, or optimizing clinic layouts. Other duties as assigned.
Education/Certifications/Licenses Required
Bachelor's degree in healthcare administration, business administration, or a related field (Master's degree preferred).
Experience
Minimum of 5 years of experience in healthcare operations management, preferably within a specialty medical clinic or similar healthcare environment. Strong understanding of medical billing, coding, and insurance processes. Experience in budget management, financial analysis, and resource allocation. Proven leadership experience, including managing teams and cross-functional collaboration.
