Division/Program Summary:
The Division of Disease Control's mission is to safeguard the health of New Yorkers through identification, surveillance, treatment, control, and prevention of infectious diseases, which is achieved through varied and interrelated endeavors of its seven Bureaus.
The NYC Public Health Laboratory (PHL) is one of the largest local public health laboratories in the United States where employees contribute to the health and safety of NYC residents by providing clinical and environmental laboratory testing services. PHL is committed to its mission to safeguard the health of all NYC residents by providing quality laboratory testing services that support the priorities of DOHMH and its community partners to prevent and respond to clinical and environmental public health concerns.
Position Summary:
The Administrative Coordinator will report to the Section Procurement Manager within the Operations Section at PHL. The Administrative Coordinator will work within a team of procurement and administrative coordinators to support procurement of reagents, supplies, equipment, and other items necessary to support PHL's mission. Additionally, this position will assist with other administrative tasks as needed, including helping with equipment inventories and service call ins.
Job Duties and Responsibilities:
-Work with the procurement team, PHL staff and outside vendors to generate purchase requisitions and purchase orders (PO).
-Utilize Agency and Citywide systems in the processing and approval of procurement actions.
-Collaborate with PHL staff to ensure procurement needs are being met.
-Communicate with vendors to request required documents, and review submitted documents for completion and compliance with procurement rules and regulations.
-Assist with budget tracking and the generation of expense reports.
-Track purchase orders.
-Assist in the monitoring and maintaining of critical laboratory supplies.
-Manage equipment inventories and associated service.
-Work on special projects as needed.

Qualifications
1. A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
3. A four-year high school diploma or its educational equivalent and six years of
satisfactory, full-time progressively responsible experience as described in "1"
above, 18 months of which must have been in an administrative, managerial,
executive or supervisory capacity. The supervisory work must have been in the
supervision of staff performing clerical/administrative work of more than
moderate difficulty; or
4. Education and/or experience equivalent to "1", "2" or "3" above. However, all
candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above
the high school level may be substituted for the general clerical/administrative
experience (but not for the administrative, managerial, executive or supervisory
experience described in "1", "2" or "3" above) at a rate of 30 semester credits
from an accredited college for 6 months of experience up to a maximum of 3½
years.
