Responsibilities

The clinical program coordinator will be responsible for a variety of students support functions and coordination of clinical experiences for over 100 students in 30-40 clinical sites. This position will focus on student support services from entry to exit as well as budget management, logistics, purchasing, travel, and departmental coordination. Assist the Program Administrator with coordination and documentation of requirements for policies and procedures related to the Council on Accreditation of Nurse Anesthesia Educational Programs (COA) and other regulatory agencies. Ensure the program web page and materials are updated with accurate information to maintain compliance. Disseminate evaluation schedules and maintain all documents related to each clinical site affiliation. Maintain and secure all graduate alumni records for employment verification, future credentialing, and regulatory agencies. Perform all duties necessary to support graduate and alumni affairs. Maintain student databases, prepare and maintain Faculty meeting minutes, and manage data, forms, and the record-keeping system for the Nurse Anesthesia Program (NAP). Schedule meetings as needed for faculty, staff, and other stakeholders. Provide comprehensive administrative support to the Program Director, Assistant Program Director, and faculty of the Nurse Anesthesia Program. Responsible for managing a variety of office administration tasks, including correspondence, database management, report preparation, and handling inquiries from visitors and callers. Process requisitions, purchase orders, invoices, and travel authorizations. Complete expense reports, perform monthly financial reconciliations, and monitor the budget. Arrange travel for faculty and staff, including authorizations and expense reporting. Order supplies, manage inventory, and coordinate equipment maintenance and repairs. Create and maintain databases for tracking departmental information and compiling data for reports. Coordinate comprehensive student support, from interviews and event scheduling to clinical rotations. Responsibilities include planning orientation, ensuring compliance with background checks, AANA/NBCRNA enrollment, NBCRNA portal access, managing clinical credentialing through systems like American Data Bank, MyClinical Exchange, and CastleBranch, monitoring clinical data and time logs (Medatrax) for COA compliance, and pre-populating evaluations with student data. Manage the intake and processing of graduate admissions for the Nurse Anesthesia Program. Work closely with the College of Applied Studies, the Graduate Admissions Office, and the Graduate School to process and track application materials, ensuring all necessary documents are received and processed. Manage registration for all NAP graduate students each semester, ensuring timely and accurate course enrollment. Ensure students meet all academic and program requirements for graduation, processing necessary documentation for timely clearance and certification. Regularly update and maintain the Nurse Anesthesia Program handbook and Policies and Procedures to reflect current standards and requirements. Update the graduate bulletin annually. Prepare and distribute information highlighting key updates, events, and achievements. Collaborate with the Office of Advancement to create and design program brochures and other marketing materials. Serve as a notary signing agent for the department. Perform other tasks as required by the department to support program operations and objectives. Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.) A notary public or ability to obtain within 60 days of hire. Preferred Qualifications

Experience in Nurse Anesthesia or related clinical program coordination. Experience with credentialing professionals within healthcare entities. Experience with contract management, simulation, budget reconciliation, and event coordination. Proficiency with Excel, Word, and other related Microsoft programs.

Anticipated Salary Range

Starting at $47,785, commensurate with education and experience.
