The federal government has, however, given us funds and special authority to protect the rights of people with disabilities in Montana. Job Overview:

The Executive Assistant provides high-level administrative support to the Executive Director of Disability Rights Montana. The Executive Assistant works with the Executive Director to support Disability Rights Montana’s Board of Directors, Advisory Council, and management staff. Responsibilities include preparing statistical reports, correspondence, arranging meetings, and taking minutes of those meetings. I. Essential Duties/Functions

Type reports, memos, letters, and other documents using word or other relevant computer software. Schedule and prepare physical setup of meetings for the Executive Director and Board of Directors. Record, type, and distribute meeting minutes. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Maintain complete and accurate physical and electronic records management database systems according to agency policies and procedures. Assist with program quality assurance. File and retrieve agency documents, records, and reports. Assist in maintaining legal files. Utilize Outlook to calendar meetings and deadlines. Complete timesheets, paperwork, and other assignments timely. Respond to low-level IT support requests. Other duties may be assigned as necessary to effectively carry out the mission of the organization. II. Competencies

Standards of Conduct and Practice

The Executive Assistant has access to highly sensitive governance, management, personnel, and legal client information. As such, they are expected to maintain professional standards of conduct and practice in the workplace and in the performance of the duties of this position. IV. Lines of Authority

The Executive Assistant reports directly to the Executive Director. This position has no supervisory responsibility. V. Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Work a standard workweek, 8:30 am–5:00 pm with a half hour off for unpaid lunch (unless an alternative schedule is approved), but must be willing to work evenings, weekends, or extended hours when necessary. The Executive Assistant is responsible for maintaining a reasonably ambitious workload and keeping the Executive Director informed when there is insufficient work to perform and when there is a risk that work will not be completed on a timely basis. VI. Physical Demands

Continuous sitting and use of computer keyboard. Frequent movement around the office. Occasional reaching, handling, pushing, pulling, lifting, and carrying up to 10 pounds of files, office supplies, etc. Infrequent movement between agency offices, vehicles, and other locations. VII. Travel

Infrequent local, out-of-area, and overnight travel may be required for this position. VIII. Education/Experience

The candidate must have the skills necessary to perform the job. For example, this may be shown through a diploma, degree, or certificate in paralegal or administrative studies and two years of experience, or proficiency in the necessary skills may be evidenced by 5 years of administrative support experience. IX. Background Check

This position may involve unsupervised contact with vulnerable adults and children and interaction with personally identifiable information. DRM conducts background checks of conviction and arrest records on final candidates prior to extending offers. Hiring Process
