Finger Lakes Community Health (FLCH) was founded in 1989 with an original mission of serving the region's agricultural workers by linking individuals to area resources and providing essential health services. In 2009 the organization expanded to become a Federally Qualified Health Center (FQHC), serving patients of all incomes, ethnicities and walks of life. Over the last decade, FLCH has grown to provide medical, dental, and behavioral health services to over 28,000 patients at eight health centers. Job Summary:
The Administrative Assistant in the finance office provides critical administrative and clerical support, ensuring smooth and efficient operations within the finance department. This role involves managing financial documents, tracking expenses, and supporting financial reporting processes. The assistant will work closely with finance staff to maintain organized records, coordinate meetings, and manage communication with internal and external stakeholders. A detail-oriented, organized, and proactive individual will excel in this role.
Duties/Responsibilities:
Financial Document Processing :
Assist in gathering, tracking, and processing financial documents such as invoices, deposit records, and reimbursements.
Maintain and organize both electronic and paper files for easy retrieval, supporting audit and reporting requirements.
Manage Finance Department petty cash fund, including tracking receipts, preparing reconciliations, and requesting replenishment
Prepare deposits of checks and cash as required by policy and take to the bank.
Meeting and Calendar Management :
Schedule meetings for the finance team, coordinating with internal and external stakeholders
Organize minutes during key meetings and ensure follow-up on action items.
Financial Reporting Support :
Compile data for periodic financial and grant reports
Assist in gathering documentation for various types of audits and compliance reporting, and ensuring compliance with financial regulations.
Assist with preparing budget summaries and expense reports for leadership review.
General Office Support :
Coordinate with Administration Staff to ensure daily pick up of mail from post office boxes
Monitor Finance Dept group email boxes and voice mail, storing and forwarding communications appropriately for resolution
Order and manage office supplies for the finance department, ensuring all necessary materials are available.
Process bulk mailing of weekly AP checks ensuring all required remit documentation is included
Other Duties as assigned by supervisor – Responsibilities may fluctuate based on needs of the finance department
Required Skills/Abilities:
Possesses knowledge of general accounting principles
Possesses basic computer skills
Ability to prioritize
Possesses strong organizational skills
Education and Experience:
High School Diploma or Equivalency
Possesses valid New York State drivers license in compliance with FLCH drivers policy
Current New York State automobile insurance in compliance with FLCH underwriting agreement
Physical Requirements:
Must be able to hear and communicate with clients and staff on the telephone and those who are served “in person”
Must be able to lift up to 20 pounds.
Must have vision that is adequate to read memo’s computer screen, registration forms, and other documents.
Must possess manual dexterity, to perform writing and keyboarding tasks.
