THIS POSITION IS A 1 YEAR CONTRACT. Minimum Qualifications: - High school diploma (or equivalent) with 3 years of relevant work experience, or a four-year college degree. - Knowledge of general office practices. - Proficiency in MS Office, particularly Microsoft Word, PowerPoint, Excel, and SharePoint. - Strong written and oral communication skills, organizational and interpersonal abilities, with a proven capacity to interact effectively with project personnel and management. - Familiarity with handling technical drawings and engineering documents. - Experience with Electronic Document Management Systems (EDMS). Tasks and Responsibilities: - Perform various document control tasks in direct support of the project or program manager. - Coordinate the flow of documents between project teams, including operations, engineering, construction, and other departments. - May be responsible for managing a small-sized project or multiple aspects of a larger project or program. - Knowledgeable in both document control processes and the use of electronic systems for managing documentation. - Under general supervision, handle clerical and technical tasks to support the project. - Maintain organized files for project document retention. - Work with field staff to review and verify daily and weekly reports for accuracy, ensuring they are sent to the appropriate contacts. - Assist in updating manuals, engineering documentation, and submittals for the assigned project. - Review project documents such as drawings, specifications, and technical manuals. - Support the project manager in the contracting process and preparation of Risk Management Plan documents. - Coordinate project requirements with various stakeholders. - Update project schedule documents in coordination with project stakeholders, supporting the project manager. - Manage documentation flow during construction and installation phases, including submittals, Requests for Information (RFIs), and Change Order Requests (CORs). - Communicate with project stakeholders about action items and due dates. - Assist in project closeout activities as needed. - Populate and maintain an online electronic storage system for assigned projects and ensure field staff can access the information. - Perform other related responsibilities as required. - Contribute as a team player, demonstrating a strong sense of urgency and the ability to collaborate effectively with others.
