We are seeking a highly skilled and passionate Senior Payroll Specialist to join our team. This individual will play a key role in ensuring the timely and accurate processing of payroll, compliance with non-profit regulations, and supporting our employees in a collaborative and values-driven environment. Job Description: As a Senior Payroll Specialist, you will oversee the full payroll process, ensuring the accurate and timely processing of payroll for all employees in compliance with federal, state, and local regulations, as well as internal policies. You will work closely with HR, finance, and other departments to support employee needs, manage payroll queries, and contribute to the overall efficiency of the organization's financial operations. Key Responsibilities: Payroll Processing & Administration: Process bi-weekly/monthly payroll for all employees, including salaried and hourly staff Calculate and process all payroll-related transactions, including deductions, taxes, overtime, and bonuses Maintain employee records, ensuring accurate and up-to-date information in payroll and HR systems Oversee the preparation and distribution of paychecks and direct deposits Compliance & Reporting: Ensure compliance with all federal, state, and local tax laws, wage and hour regulations, and non-profit-specific payroll requirements Prepare and submit required payroll tax filings, including 941, state unemployment, and other filings Prepare and review monthly, quarterly, and annual payroll reports for internal and external audits Assist with the preparation of year-end payroll tax reporting, including W-2s and 1099s Employee Support & Communication: Address payroll inquiries from employees in a timely and professional manner Support HR and management in matters related to compensation, benefits, and payroll policies Assist with the onboarding process by ensuring accurate payroll setup for new hires Provide training to new employees or managers on payroll procedures and systems System Maintenance & Improvements: Manage and troubleshoot payroll software (e.g., ADP, Paychex, or other relevant platforms) Continuously identify opportunities for process improvements to enhance payroll accuracy and efficiency Work closely with the finance team to ensure alignment between payroll and general ledger Non-Profit-Specific Duties: Stay current with non-profit sector payroll regulations, including tax-exempt status, 403(b) contributions, and other sector-specific requirements Ensure proper documentation for grant-funded positions, restricted funds, and other unique payroll scenarios within the non-profit sector Requirements: Bachelor's degree in Accounting, Finance, Business Administration, or related field (preferred) 5+ years of experience in payroll processing, with at least 2 years in a senior or lead payroll role Previous experience in non-profit payroll processing is highly preferred Strong understanding of payroll taxes
