Summary
Under general direction, performs complex clerical, administrative support services to the Development Services Department. The Administrative Assistant III typically provides support to department head and is the highest level of administrative support in the department.
Responsibilities
- Assists in training support staff.
- Assists in planning and priority resolution.
- Oversees, monitors, and orders office supplies for department.
- Arranges for appointments and maintains calendars.
- Determines priorities, length of appointment/meetings.
- Prepares materials for meeting agenda.
- Takes dictation, transcribes and types correspondence.
- Composes types, edits and prepares various final correspondence.
- Copies and collates materials for distribution and/or records storage.
- Establishes and maintains various computerized and paper files.
- Retrieves, records, logs and refiles paper or computer documents/files.
- Posts entries to ledgers, logs, or spreadsheets to account for expenditures or receipts.
- Prepares copies of documents such as faxes, reports, letters, and memoranda.
- Develops and/or modifies procedures and formats materials for new or revised word processing applications.
- Serves as or assists office/department receptionists.
- Greets/directs visitors.
- Answers, screens and directs telephone calls.
- Responds to questions pertaining to departmental policy/procedures.
- Provides general assistance to callers/visitors.
- Listens to complaints or concerns of callers/visitors.
- Records and distributes materials, documents and payments received from visitors to appropriate department personnel.
- Cooperates with various County and State offices for reporting and data requests.
- Assists Development Manager/Department Head with department's vehicle pool.
- Assists with departmental work orders through the County work order system.
- Conducts daily financial reporting, including but not limited to, daily deposit and payment voids.
- Oversees the OSSF Maintenance Program and, under general supervision, develops, modifies, and implements all associated procedures.
- Oversees intake of all Applications and, under general supervision, develops, modifies, and implements all associated procedures.
- Performs other related duties as requested.
- High School diploma and completion of office management, secretarial program or equivalent and three-year related experience.
- or five years full time experience in office management, secretarial, or highly responsible office/clerical work.
- or any equivalent combination of experience and training.
- Class C Texas Driver's License. Bilingual may be preferred (Spanish/English). Notary Public may be required.
