We are on the lookout for a capable Administrative Assistant to join our team in Coachella, California. As an Administrative Assistant, you will primarily be tasked with scanning and uploading vehicle maintenance documents into our system. Additionally, you will be tasked with handling basic administrative office duties such as answering phone calls and greeting visitors.
Responsibilities:
• Scan and upload vehicle maintenance documents into MaintainX to reflect the maintenance performed on vehicles, equipment, and structures over the past two years.
• Handle basic phone answering and message taking duties.
• Greet public visitors who come into the office and inform them about the staff's availability.
• Take down the information of visitors or callers for further follow-up by the staff.
• Provide coverage for the administrative office during staff meetings or events.
• Utilize Microsoft Outlook for email correspondence and other administrative tasks.
• Engage in both inbound and outbound calls as part of customer service responsibilities.
• Perform data entry tasks as needed.
• Leverage your Spanish language skills to cater to a diverse customer base.

• Minimum of 2 years of experience in an administrative role
• Proven ability to efficiently answer inbound calls
• Excellent customer service skills with a customer-centric attitude
• Proficiency in data entry with attention to detail and accuracy
• Experience in detail-oriented email correspondence
• Familiarity with handling both inbound and outbound calls
• Proficiency in Microsoft Outlook for scheduling, email management, and task organization
• Experience in document scanning and digitizing paper records
• Fluency in Spanish is required
