Job Description
We are offering a short term contract employment opportunity for an Administrative Assistant in the Non-Profit sector. As an Administrative Assistant, you will be responsible for managing online appointment bookings, communicating with patients, and transitioning manual processes to digital platforms.
Responsibilities:
• Manage online appointment scheduling and ensure smooth operations.
• Communicate with patients to complete registration forms and input their information into the system.
• Coordinate with ZocDoc for bookings and assist in the transition to electronic procedures.
• Handle manual processes while the system is being built within a 3-month period.
• Answer inbound calls and provide excellent customer service.
• Perform data entry tasks and maintain accurate records.
• Correspond via email professionally and promptly.
• Conduct both inbound and outbound calls as needed.
• Utilize Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to accomplish tasks.
• Schedule appointments effectively and efficiently.
• Minimum of 1 year experience in a similar role within the Non-Profit sector• Proficiency in answering inbound calls and managing inbound/outbound calls
• Exceptional customer service skills
• Expertise in data entry tasks
• Strong ability to manage email correspondence effectively
• Proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word
• Experience in scheduling appointments and managing calendars
• Ability to work both independently and as part of a team
• Excellent communication and organizational skills
• High attention to detail and problem-solving skills
• Strong interpersonal skills with a detail oriented demeanor
