We are offering a long term contract employment opportunity for an Administrative Assistant: IV (Lead) in Miami, Florida, 33133, United States. This role is primarily focused on providing administrative support to a department or individual within our organization. The job function includes tasks such as word processing, filing, answering phones, receiving and directing visitors, scheduling, financial record keeping, coordinating meetings and conferences, obtaining supplies, and sorting/distributing mail.
Responsibilities:
• Managing inbound calls and directing them to the appropriate department or individual
• Overseeing the budget processes to ensure compliance and effectiveness
• Scheduling meetings and conferences, ensuring all necessary parties are informed and necessary resources are available
• Performing ad hoc financial tasks as needed to support the department
• Maintaining a filing system to ensure all documents are easily accessible
• Utilizing communication skills to effectively interact with team members, clients, and other stakeholders
• Leading special projects as assigned, providing updates and reports as necessary
• Coordinating the distribution of incoming mail and faxes to the appropriate recipients
• Directing visitors, ensuring they are greeted and guided to their destination
• Keeping records of all department activities for reference and audit purposes
• Utilizing word processing skills to create, edit, and format documents as required
• Demonstrating organizational skills in managing multiple tasks and meeting deadlines.• Proficiency in answering inbound calls
• Familiarity with budget processes
• Experience with scheduling and calendar management
• Ability to perform ad hoc financial tasks
• Fluent in English language
• Proficient in filing and record keeping
• Exceptional communication skills
• Spanish language skills are a plus
• Experience with managing conference calls
• Able to distribute faxes efficiently
• Capability to lead special projects
• Willingness to work onsite
• Proficiency in word processing software
