POSITION: Administrative Assistant
SCHEDULE: Full Time, Monday- Friday 8AM -4:30PM
FACILITY: NHDOC Correctional Facilities
LOCATION: Concord, New Hampshire

POSITION SUMMARY
The Administrative Assistant provides support to the Program Manager and performs general administrative office assignments and functions as a communication link between the Central Office and the healthcare units. His/her responsibilities may include medical record keeping and timekeeping.
DUTIES/RESPONSIBILITIES
1. Serves as primary point of contact responding to employee inquiries in an effective and customer focused manner.
2. Address staff concerns accordingly or escalate to the appropriate party for resolution.
3. May generate various ad hoc and scheduled reports for Program Manager and client and distribute them in a timely manner.
• Receive and route correspondence to the appropriate parties within the Central Office and the health care units as appropriate.
• Prepare and send out-going correspondence.
• Distribute meeting minutes and action item lists to committee members and other personnel as required
4. Coordinate new hire processing with appropriate staff.
• Schedule interviews.
• Coordinates new hire orientation.
5. Answer phone and routes calls appropriately. Takes phone messages as necessary.
6. Serve as a liaison with Company facility employees and Corporate staff and with DOC.
7. Schedule meeting, appointments and work assignments to meet deadlines
• Schedule meeting and appointments, notify those attending.
• Schedule contract physician hours as requested by the Program Manager.
• Attends staff meetings; record and transcribe meeting minutes and prepare action items lists.
8. Create and maintain accurate event/activity tracking systems for the region, such as CEUs, credentialing, etc.
9. Perform general clerical (e.g., filing, typing, mail, photocopying, take notes) duties accurately and efficiently.
• Perform clerical, administrative and secretarial duties accurately and in a timely manner, including, but not limited to reports, payroll, personnel document processing, etc.
10. Assist the Program Manager with event planning.
• Prepare calendar to reflect scheduled events.
• Contact vendors and prepare for events as required.
• Compile projects and reports from other healthcare staff as assigned.
11. Classify and file all documents to be maintained in the office.
• Create a uniform filing system to ensure all necessary documents are kept in an organized manner.
• Protect confidentiality of information in written and verbal communications.
• Maintain compliance with HIPAA regulations.
12. Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
13. Communicate effectively and demonstrate professionalism, respect, concern and courtesy in all interpersonal communications.
• Facilitate communication between the Program Manager and other healthcare personnel by providing information concerning procedures, reports, directives and instructions in an accurate, concise, and timely manner.
• Interact with correctional staff positively and cooperatively.
• Monitor and order supplies, maintenance of equipment, and other services.
14. Medicaid administration
• Collect and open all Medicaid correspondence.
• Submit for Medicaid payment.
• Update all appropriate databases.
Upon receiving the necessary training and/or instruction, performs other related duties as required or assigned.
JOB REQUIREMENTS
The following requirements list the minimum to qualify. An equivalent combination of education and experience may be accepted.
TRAVEL: May be required to travel to any NHDOC facility.
LICENSING: Non Required
CERTIFICATION: Current CPR certification preferred
EXPERIENCE:
• Minimum two (2) years administrative experience.
• Type a minimum of fifty (50) words per minute.
• Proficient in the use of computer, facsimile, scanner, and copying equipment.
• Proficiency in Microsoft Outlook, Word, Power Point, Excel, and Microsoft Access.
• Correctional experience a plus.
EDUCATION: High school diploma or GED
