The primary role of the Administrative Assistant is to provide administrative and clerical support to the office and team to ensure the efficient operation of the office by supporting a variety of tasks. Proven administrative experience is essential as well as good time management skills and the ability to multi-task and prioritize work needed.

Accountability:
- Mid & low level operational issues.
- All relevant administrative support tasks for making the prospective office fully functional.
- Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.

Responsibilities:
- Completing all office management tasks.
- Communication: Answering and directing phone calls, writing and distributing correspondence, and taking detailed minutes.
- Ongoing organizational tasks.
- Travel arrangements for the team.
- Gathering data in Excel lists (diverse staff lists, payments, diverse contact lists, etc.).
- Assisting with event planning and team events in office.
- Create physical filing system, organize the electronic filing system for documents to be uploaded (for other staff members).
- Support the Project Managers in small, clearly defined project-related tasks.
- Representing the office in activities and alignments within the organization.
- Co-ordination of service providers.

Qualifications:
- Strong written and verbal communication skills.
- Ability to work both independently and within a team environment.
- Proficient in Microsoft Word, Excel and PowerPoint.
- Previous experience in the office management is of a great advantage.
- Able to interact professionally with Clients and the team at all times and promptly respond to requests with accuracy and a courteous demeanor.
- Excellent interpersonal skills and self-awareness.
- Excellent relationship building skills.
- Having a strong work ethic and the ability to address multiple tasks in a short time frame and being able to stick to strict deadlines.
