About Us:
We are a growing law firm specializing in estate planning, trust administration, and related legal services. We are seeking a highly organized and detail-oriented Estate Planning Legal Administrative Assistant to join our team. This role is critical in supporting our attorney and ensuring clients receive high-quality service throughout their legal matters.
Key Responsibilities:
Client Intake:
- Manage initial client consultations and information gathering.
- Maintain regular communication with clients throughout the estate planning process.
Drafting Documents & Deeds:
- Assist with drafting ancillary estate planning documents.
- Prepare and record deeds as needed.
Trust Administration:
- Assist with trust administration tasks including asset inventory and beneficiary communications.
Client Follow-ups:
- Schedule and conduct follow-ups with clients to ensure timely progression of their matters.
- Address client questions and concerns during the estate planning and trust administration process.
Notarization & Client Signings:
- Act as a notary for the signing of estate planning documents.
- Organize and oversee client signing appointments.
Binder Assembly:
- Compile and organize estate planning binders for client records.
- Ensure all documents are properly indexed and bound for easy client access.
- Clerical Duties:
- Handling routine tasks of photocopying, scanning, shipping, and data entry.
Qualifications:
- Paralegal certification or equivalent experience in estate planning.
- Notary public (or willingness to become certified).
- Strong drafting skills, particularly in estate planning documents and deeds.
- Experience in trust administration.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Strong communication and client service skills.
- Experience with legal software and document management systems.
Compensation: $30 to $35 per hour
