Job Title: Legal Administrative Assistant – Business Litigation & Insurance Support
Location: Century City, CA (Hybrid)
About the Firm
A prestigious law firm located in Century City is seeking a detail-oriented, experienced Legal Administrative Assistant to provide essential support to its Business Litigation and Insurance practice groups. This hybrid role offers the opportunity to work in a collaborative environment, with 3 days in-office each week for hands-on team engagement and 2 remote days for flexibility.
Role Overview
This Legal Administrative Assistant will deliver comprehensive administrative and legal support to attorneys and staff, contributing to efficient case management and smooth operations. A high level of professionalism, initiative, and discretion is essential for success in this role.
Key Responsibilities
- Legal Support: E-file documents in state, federal, and appellate courts; manage court dates and deadlines
- Document Preparation: Draft client letters, fee agreements, legal documents, exhibits, and other case materials
- Case & File Management: Organize and maintain physical and electronic files, track case timelines
- Logistics Coordination: Arrange depositions, trial logistics, travel, and meeting schedules
- Administrative Duties: Manage calendars, process bills, reconcile expenses, handle correspondence, and perform conflict checks
- Client & Stakeholder Interaction: Provide exceptional client service, assisting with meeting preparation and business development support
Required Skills
- Excellent client service mindset with a proactive attitude
- Strong verbal and written communication skills, including grammar, proofreading, and document formatting
- Proficiency in MS Word, Outlook, Excel, PowerPoint, and document management systems
- Ability to prioritize, manage multiple deadlines, and handle confidential information with integrity
Qualifications
- Associate’s or Bachelor’s degree preferred
- Minimum of 10 years as a Legal Administrative Assistant in a professional setting
- In-depth knowledge of legal terminology, case timelines, and court filing processes
Physical Demands
- Regular use of office equipment (computer, phone, copy machine)
- Ability to remain seated for extended periods and occasionally lift light objects (e.g., files, paper)
Compensation
This role is non-exempt and eligible for overtime, based on experience and job-related factors.
