Elevate Patient Financial Solutions has an exciting career opportunity available as a Regional Administrative Assistant. This position will be supporting a Regional Vice President in Charlotte, NC. Local presence is preferred for this remote opening. The schedule for this position will be Monday-Friday; 8am-5pm with flexibility as needed.
Job Summary

The Administrative Assistant to the Vice President of Operations provides information management, administrative support, and office management in an effort to enhance accessibility, responsiveness, and effectiveness of the Vice President of Operations. This position provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, ordering supplies, communicating with building management, arranging conference calls, coordinating travel arrangements, and scheduling meetings.

Essential Duties and Responsibilities
  • Answer, screen and forward any incoming calls appropriately, while providing basic information as needed.
  • Updates appointment calendars and schedules meetings/appointments.
  • Takes and communicates messages for various personnel.
  • Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Contributes to team effort by accomplishing results as needed.
  • Maintains executive scheduling and calendar allocation requiring interaction with both internal and external individuals to coordinate a variety of complex executive meetings.
  • Arrange travel schedule and reservations for executive leadership as needed.
  • Prepare reports, presentation materials, requests for proposals, and other documents or correspondence by using Microsoft office products or other applicable software.
  • Read an analyze incoming communications, submissions, and reports to determine their significance and plan their distribution.
  • File and retrieve department documents, records, and reports.
  • Coordinate major department initiatives by working with internal and external parties to organize the various components needed to initiate, run, and conclude major projects by coordinating schedules and activities, placing orders for supplies and services, and tracking progress and results.
  • Prepare minutes and summaries of executive and management meetings.
  • Regular and timely attendance.
  • Other duties as assigned.

Qualifications and Requirements
  • 5+ years' experience providing administrative support, executive support preferred.
  • Accurate typing/data entry at a minimum of 45 wpm.
  • Superior interpersonal skills and ability to communicate effectively in writing and verbally.
  • Prior experience in maintaining confidentiality and handling sensitive information.
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint applications.
  • Excellent calendar management skills, including the coordination of complex executive meetings.
  • Ability to follow complex instructions and procedures and to organize work in a systematic logical fashion.
  • Experience in scheduling travel arrangements.
  • Flexibility to travel.

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, location, specialty and training. This pay scale is not a promise of a particular wage.
