- EDUCATION
- Required: High school diploma or general education degree with accounting course work.
- Preferred: Bachelor’s Degree in Accounting
- EXPERIENCE
- Required: A minimum of two years of responsible office experience in bookkeeping and clerical duties, or an equivalent combination of education and experience.
- Preferred: Experienced with Pro Contractor software.
- SKILLS, KNOWLEDGE, AND ABILITIES
- Knowledge of the principles of bookkeeping and accounting procedures.
- General knowledge of and ability to use personal computers in word processing and financial spreadsheets.
- Skills to make and verify computations with accuracy.
- Able to compile statistical data and prepare routine reports and to work under time constraints.
- Knowledge of modern office practices and procedures.
- Ability to be cross trained to perform administrative duties in the areas of budget, accounts receivable, and accounts payable.
- Knowledge of financial and accounting software applications.
- Ability to learn the procedures and functions of the desk to which position is assigned both in AR and AP.
RESPONSIBILITIES AND DUTIES
The responsibilities and duties of, but not necessarily limited to, the Accounting Clerk:
- Reconciles all revenues collected on a daily basis. Checks balances against accounting receipt records.
- Prepares bank account deposit documents and confirms deposit totals. May make bank account deposits.
- Posts accounting data by hand or by computer data entry on a daily basis.
- Participates in completing end of the month closing process. Is cross trained in all AP and AR procedures.
- Maintains and serves as a point of contact with the Administrative Offices concerning accounting issues.
- Answers incoming calls and provides routine information in response to inquires.
- Cross trains to provide assistance as necessary in the areas of accounts receivable, accounts payable, expenditure of funds, and budget preparation.
- Maintains general and subsidiary ledgers and journals.
- Posts debits and credits, records receipts and balances.
- Examines and records financial transactions and charges to proper departmental accounts.
- Compiles data for certified payroll and works with project compliance officer.
- Compiles data for preparation of periodic reports.
- Assists in resolving accounting discrepancies.
- Disburses funds by preparing and issuing checks for authorized signatures.
- Initialize new jobs in the Accounting program.
- Monthly billing on all Contract jobs, Review all active jobs monthly for billing status.
- Mail monthly statements to customers.
- Assist in establishing report needs.
- Other duties as assigned, including making American Contractors an effective tool in the office.
