Pay: $30.00 - $35.00/hour (based on experience) overtime eligibility + a benefits package including a health insurance stipend, internet stipend, PTO, paid holidays, and unlimited access to Coursera courses

Schedule: Monday - Friday 8:00 AM - 5:00 PM or 9:00 AM - 6:00 PM (1-hour unpaid meal break)

Overview: Our client, a nonprofit organization fighting against hygiene poverty in the state of Colorado, is seeking a full-time Executive Assistant to support the President and executive team. This position will provide administrative support, ensuring efficient operations day-to-day. This Executive Assistant requires excellent communication skills, attention to detail, and the ability to manage multiple tasks with discretion and a high level of professionalism. This position is hybrid 2-3 days/week. The office is located in Arvada, but may require initial training in Evergreen, CO.

Responsibilities:

  • Provide administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence
  • Prepare reports, presentations, and other documents as needed
  • Serve as the primary point of contact between the executive team and internal/external stakeholders
  • Coordinate and manage communication flow, ensuring timely responses and follow-ups
  • Organize and coordinate meetings, including preparing agendas, taking meeting minutes, and ensuring follow-up on action items
  • Assist in planning and executing organizational events, board meetings, and fundraising activities
  • Support key organizational projects by tracking deadlines, coordinating tasks, and ensuring timely completion
  • Collaborate with team members and departments to facilitate project-related communications
  • Maintain and organize confidential files and records, ensuring that all documentation is accurate and up to date
  • Draft and edit correspondence, reports, and other documents for executive review
  • Arrange travel, accommodation, and itineraries for executive team members
  • Handle logistics for conferences, meetings, and speaking engagements
  • Assist in tracking budgets and managing expense reports for the executive team
  • Work with the finance department to ensure timely submission and reconciliation of expenses
  • Support the board of directors by coordinating meetings, preparing board packets, and maintaining board records
  • Communicate and follow up with board members as needed
  • Build and maintain positive relationships with donors, partners, and community stakeholders
  • Identify opportunities to improve administrative processes and implement solutions to enhance efficiency
  • Assist in developing and refining office policies and procedures
  • Handle sensitive information with the highest level of confidentiality and discretion
  • Represent the organization with professionalism in all interactions

Qualifications:

  • 3 + years' experience as an executive administrative assistant or in a similar role preferably for a nonprofit organization
  • Bachelors degree in Business Administration, Communications, or a related field preferred
  • Highly proficient in Google Suites, Asana, QuickBooks, and CRM (preferably Bonterra/Every Action)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Ability to work independently and as part of a team
  • High level of professionalism and confidentiality
  • Familiarity with basic accounting principles preferred
  • Knowledge of industry-specific terminology and practices
  • Ability to anticipate needs and provide proactive support
