POSITION SUMMARY
The Executive Assistant will provide administrative support to the CEO and his related activities with a high degree of confidence, enthusiasm and problem solving-capabilities. This position manages administrative processes to maximize productivity; oversees calendars and scheduling; prepares correspondence; and handles meeting preparation and logistics. The Executive Assistant will also remain flexible and versatile while working semi-independently to manage multiple projects simultaneously as special projects may be assigned by other executives on occasion.
KEY RESPONSIBILITIES
• Convey a customer-intimate approach when interacting with the CEO’s contacts and coordinates correspondence and requests in a timely and highly-professional manner
• Manage all domestic and international travel arrangements for the CEO
• Prepare expense reports for CEO and resolve associated issues
• Communicate critical information to the CEO on an ongoing basis while monitoring voicemail
• Plan and coordinate business meetings and related events based on CEO’s schedule
• Lead in compiling meeting agendas and notes for weekly executive team meeting; facilitate meeting technology for this web conference and others lead by the CEO
• Provide project management support for strategic planning processes and other special projects based on business needs
• Assist in preparation of presentation materials and proposals for prospects and customer projects
• Perform other duties as directed by the CEO, including personal support on occasion
KEY ACCOUNTABILITIES
• Maintain a high level of confidentiality in all tasks
• Demonstrate ability to complete all tasks with a high degree of accuracy, attention to detail, and follow-up with strong organizational skills
• Ensure professional, accurate, and timely communication to complete tasks and resolve issues
• Analyze and problem-solve effectively and efficiently while working calmly and effectively in a fast-paced environment
• Oversee all phases of assigned projects to ensure completion within budget and schedule
MINIMUM QUALIFICATIONS
• Bachelor’s degree in a business-related field, or 5-7 years of professional work experience
• Experience effectively managing confidential information
• Highly proficient in Microsoft Office applications, including PowerPoint, Excel, Outlook, and Word
• Must possess a high degree of professionalism with excellent interpersonal and diplomacy skills
• Excellent verbal and written communication skills; French or Italian language skills are a plus, but not a requirement
