Job Summary:
The Senior Executive Assistant is responsible for assisting the needs of the Executive Officers’ vision and mission of the organization. This role will administer CEO internal/external affairs and logistics while the CEO functions as the public face of the company. This position is tasked with overseeing the day-to-day administrative and operational functions of the CEO. The ideal candidate is highly self-motivated, forward-thinking, professional, and capable of effectively executing tasks in a fast-paced corporate environment. This position serves as a support arm to the CEO of the organization.
Responsibilities:
• Manage CEO calendar and meetings, including preparing agendas, taking notes and following up on action items.
• Ensure that scheduled collaboration time is used productively and purposefully therefore steadily monitoring, tracking, and modifying the CEO schedule.
• Formulate written correspondence that articulates the spirit of CEO.
• Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
• Maintain an open line of communication and anticipate CEO needs.
• Collaboration with departments such as human resources, marketing, public relations, administration, technology, and other management functions to complete tasks for CEO.
• Assist the CEO with operating efficiently and with innovation on new strategies for improved enhanced client experiences.
• Allocate resources and set priorities for CEO projects and tasks.
• Recommend policies and procedures to streamline administrative operations.
Requirements:
• Bachelor’s degree in business, communication, logistics, or related field
• Current or formal experience successfully assisting a CEO or C-Suite Executive in a medium- large sized organization required
• Capable of independent thought, analysis, and problem-solving skills,
• Excellent computer skills and knowledge of Microsoft, Adobe, virtual meeting platforms, AIA Contract Documents, InDesign preferred
• Capability to develop and implement administrative strategies that support organizational goals
• In-depth knowledge of administrative functions and best practices
• Effective problem-solving skills to address administrative challenges and improve efficiency.
• Excellent communication skills to interact with executive leadership, administrative staff, and other departments including oral and written presentations
• Must be available at non-traditional work hours if applicable
• Strong organizational and project management skills to oversee multiple administrative functions and initiatives
• Excellent written and oral communication skills required, i.e. researching information and drafting professional correspondence, demonstrating a high level of neatness, organization, and flexibility, and presentation
• Show initiative for CEO and company needs with a forward-thinking mindset.
