Stein Law is seeking a highly organized and proactive Executive Assistant to support the Partners of our law firm. This role requires exceptional multitasking abilities, strong communication skills, and a high level of confidentiality. The Executive Assistant will maintain the efficiency of the Partner’s schedule and workflow, handling a wide range of administrative and executive support-related tasks. The ideal candidate has a background in legal services or executive support.

Key Responsibilities
  • Coordinate and manage the Partner's calendar, including scheduling internal and external meetings, client consultations, and travel arrangements.
  • Serve as the first point of contact for the Partner, handling and screening calls, emails, and other correspondence. 
  • Draft, proofread, and organize legal documents, client files, and other sensitive information. 
  • Prepare meeting agendas, take detailed notes, and follow up on action items.
  • Assist with client communications, scheduling, and follow-up to maintain a high standard of client service.
  • Support the Partner in tracking his time and the progress of ongoing cases, projects, and business initiatives. 
  • Assist with client billing and invoicing, including reviewing, preparing, and tracking time and expenses.
  • Assist in a variety of administrative tasks, including handling confidential information, ordering office supplies, processing incoming mail, and coordinating with other departments as necessary.
Qualifications
  • Bachelor’s degree preferred or equivalent experience in executive assistance, administration, or legal support.
  • Minimum of 2 years of experience as an Executive Assistant, ideally in a law firm or professional services environment.
  • Excellent written and verbal communication skills with strong attention to detail and professionalism in handling confidential information.
  • Strong organizational, multitasking, and prioritization abilities with an exceptional ability to manage competing deadlines.
  • High level of emotional intelligence, diplomacy, and the ability to build effective relationships with clients, colleagues, and external partners.
