RNS Acoustics is a consulting firm committed to delivering comprehensive acoustical solutions for a variety of environments including residences, commercial spaces, places of worship, and industrial facilities. Our services include assessing the specific needs of each client/project, conducting equipment measurements, acoustic analysis and 3D modeling, and delivering conclusive reports that include definitive results and recommendations. We are also able to work with a network of treatment suppliers and contractors to manage product procurement and installation for our clients as needed. Position Overview:

We are seeking a detail-oriented and organized Project Coordinator to join our team. In this role, you will support the planning, organization and execution of various consulting projects, ensuring they are completed on time, within scope, and on budget. This will include following up with leads, setting up and updating projects through our project management software along with maintaining contact with clients to provide updates and coordinate site visits and meetings. Key Responsibilities: Coordinate project activities, including setting up projects, managing budgets, and creating and assigning tasks to team members. Manage time and expenses related to projects, ensuring all records are categorized accurately. Prepare and send invoices upon project completion, following up with clients to collect payments. Assist with collecting checks from the mail and coordinating with accounting to ensure deposits are made. Record payments in project management software. Maintain office organization, including shipment returns, equipment organization, and inventory management (including calibration upkeep). Organize sample management and ensure all materials are properly categorized and stored. Coordinate with insurance providers to secure vendor endorsements for client projects requiring valid insurance coverage, ensuring these endorsements do not expire. Assist with site visits, lead calls, and client follow-ups, ensuring all communication is timely and professional. Schedule meetings for leads with consultants and coordinate acoustic site visit measurements. Manage travel bookings and itineraries for team members’ business travel as needed. Monitor project progress and prepare regular status reports for management. Qualifications: Bachelor’s degree in Project Management, Engineering, Environmental Science, or a related field. Proven experience in project coordination or management, preferably in the construction, architecture, or engineering sectors. Knowledge and experience working within project management software platforms (e.g., Asana, Productive). Strong organizational skills with the ability to manage multiple projects simultaneously. Proficient in common business software (e.g., Microsoft Office, Adobe Reader, Slack). Excellent verbal and written communication skills. Strong problem-solving skills and attention to detail. Ability to work independently and as part of a team. Knowledge of acoustic principles and terminology is a plus. What We Offer: Competitive salary and benefits package.
