Department Summary
The Institute for Health Disparities (IHD) conducts research, training and community outreach in the areas of minority health, health disparities and workforce diversity. Constituting the IHD are the Texas Center for Health Disparities, National Research Mentoring Network, Texas CEAL Consortium, Diversity Training Programs and the NIMHD Endowment.
Position Overview
The Administrative Coordinator will assist the Principal Investigator (PI), Multiple Principal Investigators (MPIs), and Co-Investigators with clerical support and reporting of the AIM-AHEAD Consortium.

Minimum Qualifications
- Bachelor's degree and one (1) year of related experience; or equivalent combination of education and experience.
- Considerable knowledge of general office procedures and practices.
- Knowledge of University policies and procedures related to the area of assignment.
- Skill in making mathematical calculations and computations.
- Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to establish and maintain good working relationships.
- Ability to communicate effectively orally and in writing.
- Ability to work without close supervision.
- Knowledge of safe working procedures related to work performed.

- Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet database, or presentation software
- Coordinate travel and reimbursements for AIM-AHEAD staff
- Assist with coordinating in-person events (ie. reserving rooms, managing catering, purchasing meeting materials, booking hotels, and processing reimbursements related to travel)
- Set up meetings and maintain agenda. Send reminders and follow up messages and information.
- Maintain schedule and event calendars
- Proofread work done by others to check for correct spelling and grammar, ensure that company form policy is followed, and recommend revisions
- Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, correspondence or other materials
- Document and maintain monthly, up-to-date expense reports, expense receipts and all expense related backup documents.
