Job Summary:
The Residential Administrative Assistant greets all visitors and receives all incoming telephone calls to the agency. The Administrative Assistant fulfills other duties for the benefit of the agency. This is a full-time, 40 hours/week, non-exempt position that reports to the Director of Residential Programs.
Duties and Responsibilities:
- Performs administrative and secretarial duties for the Residential Support Team.
- Serves as backup to Agency Receptionist. Covers for breaks, and when the Agency Receptionist is out on vacation or sick leave.
- Generates clothing vouchers, clothing labels for residents.
- Orders and maintains housekeeping and hygiene supplies for residential houses.
- Generates and tracks purchase orders along with reconciling residential receipts.
- Maintains Monthly Treatment Plan Progress Report Schedule, (MTPPRS).
- Maintains Rounds schedule and Weekend Sheets.
- When at the front desk receives all incoming calls through the agency phone system, directing them to appropriate staff. At times, pages employees over the intercom.
- Warmly and professionally welcomes all visitors; determines and responds to their needs appropriately. Requests all visitors to sign in.
- Receives, sorts and distributes incoming mail. Receives outgoing mail from the agency and adds postage. Delivers mail to mailboxes in the mailroom.
- Displays exemplary role modeling while on the job and when in the presence of the children being served.
- Performs all other duties as requested by the Director of Residential Program.
Education, Experience, and Other Qualifications:
High school diploma and minimum one year of office experience. Knowledge of Microsoft Word and EXCEL; ability to perform research using the Internet. Knowledge of general office protocol and procedures and familiarity with office machines, including, but not limited to, computer, telephone, voice mail, postage, FAX, and copier equipment is necessary.
Must be personable, organized and able to work calmly and efficiently in a professional office setting with a wide variety of people. Must be able to establish a rapport with children, colleagues and staff, and ability to maintain confidentiality both within and outside of Ädelbrook are requisite.
