Position Overview

To serve as receptionist and administrative support for the Ryan College of Business Undergraduate Programs Office. This includes servicing customers, overseeing appointment management system, assisting with maintenance of budget and purchases, supervising student workers, and supporting the Administrative Coordinator, Assistant Dean Undergraduate Programs, Academic Associate Dean, Directors and senior leadership as needed.

Minimum Qualifications

Associate's degree and three years' of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities
  • Exceptional customer service skills.
  • Intermediate Microsoft Office skills.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties:

Front Office Decorum:
  • Uphold telephone call protocol by answering promptly, transferring calls as appropriate, and answering basic questions, while also providing excellent customer satisfaction through in-person assistance, referrals to other offices and advising staff, and scheduling appointments as needed.
  • Timely opening of office.
  • Maintain high level of professionalism to include efficient and timely completion of tasks.
Administrative Duties:
  • Oversee processes in the current appointment scheduling system.
  • Assist with systems access and onboarding for new fulltime employees.
  • Assist Ryan Undergraduate Programs Office with meeting minutes and intake and tracking of Student Affairs requests.
  • Supervise student workers and maintain a job log for student workers' daily duties while also handling job postings, hiring, and performing onboarding and training for student employee positions.
Budgetary Assistance:
  • Make informed purchases (i.e. ePro, PCard, etc.) and create timely, guideline-compliant reports in current systems, while also overseeing the inventory and ordering of general office supplies and electronic equipment.
  • Assist with preparing and processing initial travel documents for recruitment and engagement employees, and attend required training sessions.
Knowledge of University and Ryan College of Business Systems and Policies:
  • Continual review of updates to EIS, u.achieve, scheduling systems and all systems in use by the office.
  • Maintain current knowledge of academic and college policies.

Work Schedule:

Monday - Friday 8:00am - 5:00pm, occasional nights and weekends.
