Join Our Team as an Administrative Assistant!

Are you organized, tech-savvy, and eager to help a forward-thinking bookkeeping firm run smoothly? We’re looking for a proactive Administrative Assistant to support our growing team and help us deliver exceptional service to our clients.

What You’ll Do:

  • Be the Go-To Communicator: Act as the primary point of contact for client inquiries via email or phone, ensuring timely, professional responses and fostering positive relationships.

  • Streamline Client and Team Onboarding: Manage onboarding processes for new clients and employees, keeping everything organized and stress-free.

  • Keep Systems Running Smoothly: Set up and maintain efficient systems for organizing and tracking documentation, ensuring nothing slips through the cracks.

  • Collaborate with the Team: Work closely with bookkeepers and team members to gather, organize, and share necessary documentation for financial reporting and analysis.

  • Monitor Communication Channels: Stay on top of incoming emails, inquiries, and requests, ensuring they’re forwarded to the right team members for action.

  • Support Month-End Processes: Assist with the gathering and organization of month-end documents, ensuring our team stays on track to issue financials by the 15th of each month.

What You Bring:

  • A knack for organization and attention to detail.
  • Experience with tools like ClickUp, Notion, Google Suite, Microsoft Teams, and the ability to quickly learn new systems (we love tech!).
  • Strong communication and interpersonal skills, with a focus on providing top-notch client service. You are comfortable talking to people and building positive relationships.
  • A proactive, problem-solving mindset—you’re not afraid to figure things out on your own.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Bonus: Spanish-speaking skills or experience in the cannabis industry!
