The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.


Responsibilities

  • Administrative Support: Manage and maintain the executive’s calendar, including scheduling appointments and meetings. Handle incoming correspondence (emails, phone calls, etc.), prioritize urgent matters, and draft responses when necessary. Prepare and organize documents for meetings, presentations, and reports.
  • Communication: Act as the first point of contact between the executive and internal/external parties. Coordinate communication between departments and teams to ensure alignment with executive priorities. Prepare meeting agendas, record minutes, and ensure follow-up on action items.
  • Project Management: Assist in managing projects by monitoring deadlines, progress, and deliverables. Conduct research and provide insights or summaries to support decision-making. Ensure the executive is briefed on key developments, timelines, and priorities.
  • Travel and Event Coordination: Arrange and manage detailed travel plans, itineraries, and accommodations. Organize corporate events, team meetings, or other executive engagements.
  • Confidentiality and Professionalism: Handle sensitive information with discretion and maintain a high level of confidentiality. Represent the executive in a professional manner to clients, partners, and team members.


Qualifications


  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
