Position Summary: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to the CEO and senior leadership team. This critical role requires managing competing priorities, optimizing schedules, and ensuring seamless operations in a fast-paced and dynamic work environment. This position is full-time in the office, Monday through Friday. 

Key Responsibilities:

  • Provide high-level administrative support to the CEO.
  • Serve as a primary point of contact between the CEO and internal teams, external partners, clients, and stakeholders.
  • Manage executive calendars, scheduling meetings, appointments, and travel, ensuring optimal time management.
  • Draft, proofread, and edit correspondence, reports, memos, invoices, and other business documents with high professionalism and accuracy.
  • Coordinate all aspects of business travel for executives, including flight, hotel, transportation arrangements, and preparing detailed itineraries.
  • Handle incoming communications (calls, emails, memos), assess urgency, and prioritize accordingly. Summarize and distribute information to relevant parties.
  • Maintain organized systems for office supplies, records, and equipment to ensure smooth day-to-day operations of the executive office.
  • Order meals for the CEO, manage office kitchen supplies, and ensure the kitchen area remains tidy and stocked.
  • Identify and implement process improvements to increase office efficiency and productivity.
  • Review and process executive credit card statements and ensure timely payments.
  • Anticipate and respond to the evolving needs of the executive team, handling unforeseen issues as they arise.
  • Perform additional administrative duties to support the CEO and other senior leadership.

Required Skills & Qualifications:

  • Exceptional verbal and written communication skills with an ability to interact professionally with stakeholders at all levels.
  • Highly organized with strong attention to detail, capable of managing multiple tasks simultaneously without compromising quality.
  • Strong time management and organizational skills are essential to prioritize tasks effectively, manage competing deadlines, and ensure smooth daily operations in a fast-paced environment.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) for document creation, data analysis, email management, and presentations.
  • Strong knowledge of office administration, clerical procedures, and records management.
  • Familiarity with Microsoft Teams, Zoom, and other virtual meetings and communication collaboration tools.
  • Tech-savvy with the ability to quickly learn new software, tools, and systems as needed.
  • Capable of handling confidential information with discretion and professionalism.

Education & Experience:

  • A high school diploma is required; a bachelor’s degree in business administration or a related field is preferred.
  • At least 4 years of experience in an executive assistant or administrative support role, with a proven track record of supporting C-suite executives.

Physical Requirements:

  • Ability to sit for extended periods of time while working at a desk or computer.
  • Occasional lifting of up to 15 pounds (e.g., office supplies, materials, etc.).
