Roteq Machinery Inc. is an engineer-to-order company specializing in conceiving, designing, and manufacturing of rotating equipment for the wire and cable, umbilical, flexible pipe, and hose manufacturing industries. Our projects are customized for our diverse customers resulting in a machine designed and manufactured specifically for the application. Roteq Machinery’s projects span the full range of rotating equipment including armouring, stranding, cabling, taping, and includes auxiliary equipment for complete production lines. 

Here’s what you will do as an Executive Coordinator: 

  • Manage all aspects of the Executive Vice President (EVP) Operations calendar, keeping them well informed of upcoming commitments and responsibilities. Anticipate the EVP’s needs in advance of meetings, conferences, etc. 
  • Act as a liaison between the EVP Operations and internal/external stakeholders. Monitor and screen incoming emails/communications, prioritize, and disseminate or take action as appropriate on behalf of the EVP Operations; 
  • Prepare and edit correspondence, communications, presentations, and other documents; 
  • Complete a broad variety of tasks to enable effective operations and initiatives: coordinate schedules, plan company events and manage meeting logistics, track priorities, maintain and update documentation, records, and meeting minutes, complete expense and mileage reports, coordinate travel arrangements, facilitate communication among leadership team, etc.; 
  • Support HR initiatives which may include maintaining employee data, onboarding and offboarding tasks, administrative recruitment support, policy maintenance, etc.; 
  • Provide support for key projects among sales and marketing including record and database management; prepare marketing collateral, materials or communications for tradeshows events or internal teams; maintain website including publishing new content and editing existing content and other miscellaneous tasks; and assist with email marketing and direct advertising; 
  • Provide backup support to other departments and teams when necessary; 
  • Special projects as assigned for the overall benefit of Roteq.  

Here’s what you’ll need to be successful as an Executive Coordinator: 

  • Completion of college diploma in business, communications, marketing or relevant field; 
  • Minimum 3 years’ direct Executive Administrative support experience, ideally in a small to medium sized manufacturing setting. Human Resources administration experience an asset; 
  • Solid proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphics for presentations, materials and website content; 
  • High acuity in addressing incoming inquiries, and triaging response based on subject matter and urgency; 
  • Proven ability to plan and coordinate meetings and company events; 
  • Solid project and time management skills (overseeing multiple tasks and projects with minimal guidance); 
  • Forward thinker, natural decision-maker and self starter; 
  • Collaborative, flexible, adaptable and open to wearing many hats; 
  • Exceptional written and verbal communication skills; 
  • Highly organized with impeccable attention to detail; 
  • Service oriented with strong relationship management skills; 
  • Discretion in handling confidential information.
