EXECUTIVE ASSISTANT

RESPONSIBILITIES

  • Take full ownership of the Visionary’s inbox, ensuring all emails are addressed or delegated, maintaining zero unresolved items, and proactively updating the visionary to prevent anything from falling through the cracks
  • Manage the Visionary’s calendar by understanding her cadence and priorities, proactively aligning schedules with her ideal weekly structure, and communicating changes or conflicts in advance
  • Coordinate travel arrangements for the Visionary to minimize time spent on logistics and ensure plans are streamlined and effective
  • Serve as the primary point of contact for administrative client communications, ensuring timely responses, professional follow-ups, and escalation of issues when necessary
  • Fully own CRM admin tasks, including creating and maintaining templates, workflows, and task assignments to support team accountability and ensure no details are missed
  • Prepare, finalize, and organize client-facing materials, such as engagement letters, sales proposals, and TRs, ensuring all documents are accurate, accessible, and delivered on time
  • Handle administrative communications, including messages and mail processing, to maintain timely responses and prevent delays in documentation or workflow
  • Develop and refine operational processes, such as client disengagement workflows, scheduling automation, and team capacity planning, ensuring smooth and efficient execution
  • Proactively manage office supply inventory to meet team needs without interruption
  • Gather and organize key information for the CPA, ensuring workflows are streamlined and operational bottlenecks are avoided
  • Proactively identify and implement administrative efficiencies, focusing on accuracy, detail, and tech-driven solutions to support the firm during periods of fast growth
  • Take on administrative responsibilities with a focus on detail, efficiency, and proactive support, ensuring all tasks are completed accurately and aligned with the firm’s scaling needs

 

** This is a hybrid role based in Delaware, OH**

 

QUALIFICATIONS

Required

  • 3+ years in an executive assistant, administrative assistant, or similar role
  • Experience managing calendars, inboxes, and scheduling
  • Experience managing and maintaining project management software or CRMs to support team workflows and processes
  • Competent in managing email, phone, and other interactions in a B2B or client services environment

Preferred

  • Experience in public accounting support roles
  • Experience supporting entrepreneurs or visionary leaders
  • Experience working in a small business environment
  • Experience in remote or hybrid work settings
  • Experience working in a fast-growing environment
  • Practice management software experience

Salary: $65,000 - $75,000
