A client is seeking a highly detailed Executive Assistant to provide comprehensive support to our busy Co-Founders. This role requires exceptional organizational skills and the ability to manage complex schedules while catering to the needs of our creative and dynamic leaders.
Responsibilities:
Calendar Management
Coordinate and manage the complex daily, weekly, and monthly calendar, ensuring all appointments, meetings, and events are scheduled and rescheduled as necessary.
Prioritize and manage overlapping appointments and conflicts to ensure smooth daily operations.
Set reminders for important dates, tasks, and events.
Expense Management
Track, categorize, and reconcile all business-related expenses.
Prepare monthly expense reports for review and approval.
Liaise with the accounting department to ensure timely reimbursement and accurate record-keeping.
Travel Management
Research, book, and manage all travel arrangements, including flights, hotels, car rentals, and other transportation needs.
Ensure all travel itineraries are organized, timely, and meet the Co-Founder's preferences.
Handle any travel disruptions or changes, ensuring minimal impact on the Co-Founder's schedule.
Administrative Support:
Answer and direct phone calls, emails, and other communications on behalf of the Co-Founders.
Prepare and edit correspondence, reports, and presentations as required.
Coordinate meetings and events, including circulating pre-read materials in a timely manner, monitoring responses, and following up on actions.
Assist the busy Co-Founders with presentation materials, paperwork, and management for Board meetings.
Schedule key internal meetings, including monthly Staff meetings, LT meetings, and regular 1-on-1 meetings with direct reports and business leads.
Follow up on meeting actions to ensure completion within specified timelines.
Provide logistics support for all meetings, whether face-to-face or virtual, onsite or offsite.
Qualifications:
3-4 years experience supporting high-level executives in a fast-paced environment.
Exceptional organizational and time management skills.
Strong attention to detail and ability to multitask effectively.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to handle confidential information with discretion.
Proactive and adaptable approach to problem-solving.
Flexibility to accommodate changing priorities and schedules.
Bachelor's degree or equivalent experience preferred.
$70,000 - $80,000 a year
