SUMMARY The Executive Assistant is responsible for providing administrative and departmental support to the Executive Vice President of Operations. You will use independent judgment to organize and prepare collateral, book travel arrangements and itineraries, prepare and edit correspondence, manage incoming correspondence and special requests, and provide administrative support to the executives working at Barclays Center and within the Hospitality business unit. The Executive Assistant is familiar with all employees and keeps current with ongoing company projects. A standout candidate will always be five steps ahead, thinking proactively and suggesting new ways to contribute while maintaining a positive demeanor. WHAT YOU WILL DO Interact with the senior level management team and key stakeholder groups. Relying on good judgment and knowledge of the business priorities, they will manage Microsoft Outlook calendar (scheduling both internal and external meetings) to ensure relevant meetings are scheduled in a timely manner. Confirm locations, attendees, and times for internal and external meetings. Answer and filter incoming and outgoing calls/correspondence and responds independently. Compile and organize documentation for review and approval by Senior Leadership. Assist EVP in managing projects of varying duration and scale that involve industry research, coordinating convenings and project status monitoring. Prepare monthly expense reports. Perform sophisticated and confidential administrative responsibilities including but not limited to management of ticket request system for employees under EVP's purview. Handle special requests for clients, which may include game tickets, tickets to other events, merchandise, gifts, etc. The above noted job description is not intended to describe, in detail, the multitude of tasks that may be assigned but rather to give the associate a general sense of the responsibilities and expectations of their position. WHAT YOU WILL BRING Bachelor's Degree or equivalent experience required. 3-5 years' experience in an administrative role supporting multiple executives. Experience working in an entertainment and/or sports environment. Strong familiarity with Microsoft Office Suite, CRM tools, Slack, and Zoom. Flexibility to work late hours, early mornings and/or weekends as needed. TRAVEL REQUIREMENTS May be required to travel on rare occasions ( SALARY RANGE $64,500 - $86,000 base compensation WORK ENVIRONMENT Works primarily in an office environment but on occasion will support the EVP, Operations in the evenings and on weekends for events.
