We are a dynamic and bustling legal nonprofit organization seeking a highly organized and pro-active Executive Assistant to support three of our top executives. The successful candidate will manage a diverse range of administrative tasks and prioritize in a fast-paced environment. As the position requires seamless coordination and communication with the executives and other members of our organization, we value a strong commitment to excellent professionalism, discretion, and judgment.
The role is a hybrid remote position, allowing for work flexibility.
Responsibilities:
- Provide comprehensive administrative support to 3 executives, including, but not limited to managing an active calendar of appointments, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries and agendas.
- Plan, coordinate, and ensure the executives' schedules are effectively managed, organized, and updated.
- Prepare for board meetings (including but not limited to sending reminders, booking venues, and organizing paperwork).
- Coordinate smooth communication between the executives' office and internal departments.
- Compile documents for travel-related meetings and maintain discretion and confidentiality in relationships with all board members.
- Enhance executives' effectiveness by providing information management support and representing the executives to others.
- Proven experience as an Executive Assistant or similar role.
- Proficiency in Microsoft Office Suite, along with excellent knowledge of online calendars and scheduling.
- Exceptional organizational skills and multitasking abilities.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving skills.
- Ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
- Experience working in a legal nonprofit organization is a plus.
