The mission of Greater Cincinnati BOMA is to be recognized as a principal voice through leadership advocacy and education for the commercial real estate industry.
Supports various Western & Southern Financial Group (W&SFG) business units by leasing and managing occupied facilities. Oversees approved construction and renovation projects. Manages capital tenant improvements performed to client-occupied field properties. Monitors applicable safety regulations and practices. Works with minimal supervision and is responsible to make an established range of decisions, escalating issues to manager when necessary and updating manager on a regular basis. Prepares an annual rent and expense budget for all assigned properties.
Responsibilities
Works closely with the business units to update/modify, as necessary, property strategies, business plans and budgets. Interacts professionally at all levels within the organization and serves as liaison with various internal and external vendors to negotiate, develop and coordinate production of all timelines maintaining best prices and practices, priorities and deadlines. Travels on-site to properties; maintains relationship with contractors, property management firms, brokers and buyers, and tracks progress related to the initial business plan. Conducts surveys for available office space and possible building sites. Solicits requests for proposals from owners/landlords for potential space. Reviews and makes recommendations on plans and specifications with landlords and building managers and submits comments and recommendations to senior management. Conducts financial analysis of the assigned properties to determine the best value, calculate occupancy costs and to evaluate the economic impact of various decisions. Is responsible for timely disposition of all assigned projects. Leads coordinated efforts of leasing agent and counsel to negotiate leases with prospective landlords. Analyzes and recommends project renovations, modernization and conversion where necessary. Makes recommendations on designs, and estimates and reviews them before submission. Serves as liaison between project managers, building managers, architects, engineers, state agencies and contractors for all construction/capital tenant improvement projects. Evaluates suitability and costs of market properties, recommends solutions appropriate to clients’ needs, demographics and established standards. Prepares schedules to reflect incremental completion of tasks and finish target date for assigned projects. Monitors schedules to assure assigned projects are being regularly closed on schedule. Reports any significant deviation to management. Estimates occupancy costs, budgets, seeks bids and reviews requests for improvements and alterations of existing facilities. Monitors construction to ensure timelines, budgets and final product specifications conform to the original plans, and informs the landlord and construction partner of any risks of not being able to achieve the original plan. Reviews and recommends the appropriate award of construction contracts. Assists in reviewing expenses against budget, monitors expenditures within established guidelines and develops budget recommendations. Analyzes lease agreements and various other real estate documents, such as estoppels, non-disturbance agreements and subordinations, as to the relevance of the terms and conditions. Organizes the information and drafts appropriate responses for use in the negotiation with the owner/landlord and his/her counsel. Negotiates the business terms of new leases, lease extensions and early termination agreements, as well as other documents incidental to occupancy by the tenant. Coordinates the involvement of the Facilities Planning and Project Department in developing floor plans, specifications, details and plot plans necessary for projects. Prepares Authorization for Expenditures (AFE) seeking approval for a new lease, lease extension, renewal option, refurbishment project, office enlargement, on behalf of executive management. Prepares and issues requests for proposals for required tenant improvements. Secures bids, evaluates and recommends bid recipients, prepares contract agreements, secures permits and obtains necessary approvals on these documents. Reviews and recommends approval of invoices for Company-occupied locations, including payment of rent, real estate taxes, insurance premiums, common area maintenance charges and other tenant pass-through charges, refurbishment projects and tenant improvements, ensuring compliance with terms. Conducts office inspections and oversees tenant improvements, building construction and remodeling projects for customer-occupied locations and potential new space. Prepares an annual rent and other occupancy expense budget, and monitors monthly expenditures as appropriate for all assigned customer-occupied projects. Performs other duties as assigned by management. Qualifications
Proven thorough knowledge of real estate terminology; ability to interpret and negotiate complex real estate documents. Demonstrated knowledge of commercial real estate closing and construction draw processes, including knowledge of typical legal documents associated with institutional lending and sales, and an understanding of typical real estate title documents, including deeds, easements, liens, mortgages, etc. Demonstrated working knowledge of mathematics and principles behind leasing transactions; proven ability to calculate rent increases based upon the Consumer Price Index (CPI) or other appropriate indexes that are used to reflect percentage changes in the cost of living. Demonstrated excellent verbal and written communication skills with the ability to successfully interpret and communicate business needs in a clear, focused and concise manner. Must interact and communicate with both internal and external customers, including attorneys, professional real estate personnel, architects, contractors, municipal authorities, etc. Will be expected to provide examples of written work such as correspondence, reports, etc. Proven familiarity with multiple types of furniture systems. Proven ability to oversee the preparation of and read architectural blueprints, floor plans, mechanical, electrical, plumbing plans, plot and site plans. Proven experience coordinating multiple projects/assignments simultaneously, and completing assigned tasks accurately and on a timely basis. Must demonstrate strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands. Proven experience and proficiency assessing, analyzing, writing and communicating business requirements/specifications for projects. Proven examples from work experience on identifying complex problems, quantifying the problems and providing creative solutions to resolve them. Demonstrated experience working effectively within a team. Must provide examples from working experience of going above and beyond the call of duty to assist team members. Proven experience working in a customer-oriented field, effectively articulating complex technical information, via phone/written communications, and demonstrating the ability to deliver an adverse response in a positive manner. Proven strong general business skills capable of being utilized in performing other duties assigned by management. Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings. Performs substantial movement of wrists, hands, and fingers for continuous computer work. Bachelor’s degree in real estate or business or commensurate selection criteria experience. Working knowledge of word processing and spreadsheet applications. Ohio and/or Kentucky Real Estate Salesperson’s License. Valid driver’s license with a satisfactory and safe driving record required. Real estate continuing education: 30 hours every three years in Ohio and/or similar requirements in Kentucky. Extended hours required during peak workloads or special projects.
