Summary / ObjectiveThis role is pivotal to ensure the smooth functioning of the executive team by managing schedules, coordinating meetings, travel, expenses, and various administrative tasks for our locally-based CEO and other remotely located executives in addition to overseeing our El Segundo, CA office. This role is a hybrid role, requiring in-person attendance in the office typically 1-2 days per week or when activity in the office requires an in-person presence.This role reports to the Chief People Officer.What You'll DoManage and maintain the calendar for the CEO including scheduling a high volume of internal and external meetings using video conferencing tools (Google Meet and Zoom).Manage Board meeting logistics, hotel accommodations, dinners, and meeting room requirements.Manage logistics for executive team off-site meetings, including accommodations, events, and travel if necessary.Manage logistics for Finance and Marketing on-site and off-site team meetings, including accommodations, volunteer events, and travel if necessary.Maintain CEO and other executive expense reports on a regular basis.Manage office administration for Identity Digital’s El Segundo office. Maintain the overall aesthetics and organization of the office. Act as a primary liaison between the company and office building management (e.g., repairs, janitorial, safety, building code compliance, parking, etc.). Build effective partnerships with vendors, contractors, and employees.Assist in onboarding and equipment set-up for local employees as necessary.Manage food/snack overseeing lunch vendors, stock of kitchen, and other key supplies.Working with the office managers of other locations, schedule and manage logistics of large team meetings and company-wide events (e.g., All Hands).Identify, coordinate and execute local on and offsite morale and volunteer events.Manage incoming and outgoing mail and packages.Maintain office and meeting planning playbook.Secure notary services as required.Provide backup support to Bellevue-based Sr. Administrative Assistant.Other related duties as assigned.Who You Are / What You BringHigh School or equivalent diploma.10+ years experience supporting multiple C-suite executives.Proficiency with Google Suite.Current Notary license or willingness to attain one at the company expense upon hire is preferred.Experience managing complex domestic and international travel itineraries.Ability to handle multifaceted administrative details independently, work with little direction or supervision and handle oneself in a professional manner in all forms of communication and situations.Ability to work in a fast-paced environment on a hybrid basis.Demonstrated ability to coordinate and execute impactful activities that contribute to a sense of community and engagement within the workplace.Strong organization, communication, and problem-solving skills.High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company.Excellent written and verbal skills.Positive, proactive, diplomatic, very detail-oriented, and driven to succeed.A terrific work ethic accompanied by an ever-positive, get-it-done attitude.Sound judgment and flexibility in balancing competing priorities.Salary RangeThe U.S. base salary range for this full-time position is $83,000 - $130,500, plus benefits as described below. In addition, the successful candidate will be eligible to receive other compensation from time to time in the form of discretionary and/or nondiscretionary bonuses and long-term incentive plans. Actual compensation will be influenced by a candidate’s qualifications, internal employee equity considerations, and location. We will not ask for information about a candidate's current or past compensation for purposes of developing an offer of employment.US team members (and their spouses, domestic partners, and/or dependent children) are covered by generously subsidized medical, dental, and vision insurance which includes company contributions to a Health Savings Accounts. Team members are also covered by company-paid life and disability insurance and have the option of participating in employee-paid supplemental life, accidental death and dismemberment, critical illness, and accident insurance. In addition, team members can enroll in the company's 401(k) plan with up to a 5% match. You receive 15 days of paid vacation yearly, increasing to 20 days after one year. Additionally, you get 5 days of paid sick leave, 13 paid holidays, and 20 weeks of paid parental leave for birthing parents, 12 weeks for others.
