PRIMARY PURPOSECNA is hiring for a Senior Event Planner. This exciting role sits in the Chief Financial Office (CFO) on the Conference Operations team and is responsible for the planning, coordination, and execution of high-profile and complex meetings, conferences, seminars, and special events for CNA, DoD, and other clients at CNA’s headquarters facility, virtually, and off-site at other venues as necessary. JOB DESCRIPTION AND / OR DUTIES

Manage a portfolio of high-profile, large, and/or complex meetings, conferences, seminars, and other events at CNA’s headquarters conference center, virtually, and other offsite event locations. Develop and document event requirements and details including supplies and materials, meals/refreshments, A/V requirements, conference room set-up, attendance list, security requirements, and all other meeting requirements. Generate and provide budgets, event plans, and status updates to event hosts. Coordinate with clients, attendees, vendors, and other stakeholders to ensure successful events. Assist with and operate virtual and hybrid events for clients. May lead small teams of conference operations personnel, facilities, and A/V staff in the execution of events.Identify, recommend, develop, and manage corporate employee morale events such as holiday parties, picnics, on-site luncheons, happy hours, and other events for employees. Use surveys and other methods to gather information from staff to determine requirements. Manage and track costs against annual corporate morale budget.Identify, recommend, and work with vendors for supplies and services for food, beverages, linens, supplies, equipment, and other necessary items. Participate in contract negotiations for event services including hotels, venues, caterers, and other providers. Review and approve vendor invoices.Demonstrate initiative in pursuing continuous improvements in the planning, coordination, and execution of high-level meetings. Identify and recommend improvements and enhancements to expand the services and facilities in the conference center and other conference rooms as needed. Help maintain conference center and conference rooms in a professional and up-to-date condition by working with the Manager, Conference Operations.Be proficient in the use of corporate event/conference scheduling software and assist end users with its use as necessary.Be willing to provide all necessary services for successful meetings such as making coffee, putting out beverages, cleaning up, etc. if necessary to ensure the success of conferences and meetings.Other duties as assigned.JOB REQUIREMENTSEducation:

Bachelor's degree in event management, hospitality management or similar field, or equivalent combination of education and/or work experience required. Bachelor's degree preferred.Experience:

Minimum 7 years’ experience including experience in planning, coordination, execution of high-profile, large, and/or complex meetings, conferences, and special events. Experience supporting events involving VIP attendees. Experience with DOD event protocol preferred.Skills:

Must be proficient in Microsoft Office, Windows, Zoom and Microsoft Teams. Strong interpersonal skills with the ability to gain cooperation of others. Strong organizational skills and ability to prioritize workload; detail and results oriented. Excellent customer service ensuring high level of service standards. Ability to work under pressure and address emergent issues. Ability to lead small event teams. Ability to work independently with minimal supervision.Other:

Must be able to lift maximum of 20 pounds. Must be able to push/pull, load/unload carts containing food and other catering items. Ability to work a flexible schedule to accommodate support for early morning, evening, and occasional weekend events.Clearance:

Must have the ability to obtain and maintain a secret security clearance.Remote / Hybrid Work Eligibility:

This position is eligible for telecommuting or hybrid work arrangements at the discretion of the Supervisor. Employees may be required to work at CNA headquarters or other work locations resulting in changes to the scheduled telecommuting or hybrid work arrangements.
